The Bid Manager coordinates U.S. and international opportunities across defense and commercial markets, managing the entire lifecycle from research to proposal submission. This role acts as an operational hub to ensure opportunities are documented, compliant, and effectively tracked within the CRM.

About The Role:

The Bid Manager coordinates U.S. and international opportunities across defense, government, public-safety, and commercial markets—from research and qualification through capture support, proposal submission, and outcome tracking. Acting as an operational hub between Revenue Operations, Military Sales, the GovWin team, and cross-functional contributors, this role keeps opportunities visible, documented, compliant, and moving forward.

Key Responsibilities:

  • Opportunity research: Monitor U.S. and international procurement portals and market-intelligence sources for relevant defense, government, public-safety, aerospace, and commercial opportunities.
  • Procurement tracking: Track RFIs, RFPs, RFQs, tenders, BAAs, OTAs, SBIR/STTR opportunities, grants, innovation programs, framework agreements, and other applicable vehicles.
  • Forward planning: Identify anticipated procurements, solicitation dates, milestones, registration needs, and decision points to improve pipeline visibility and readiness.
  • Opportunity qualification: Prepare concise opportunity summaries and coordinate structured bid/no-bid reviews with the information leaders need to make informed decisions.
  • CRM administration: Maintain complete HubSpot records for opportunity source, customer, economic buyer, contacts, estimated value, lifecycle stage, ownership, timelines, next steps, milestones, and supporting documents.
  • Pipeline quality: Coordinate with the GovWin team and opportunity owners to translate market intelligence into actionable CRM records, maintain data standards, and support reporting workflows.
  • Capture coordination: Support capture plans, pursuit strategies, opportunity briefs, milestone schedules, customer engagement plans, teaming discussions, and pre-solicitation activities.
  • Capture intelligence: Organize customer, competitor, partner, procurement, and market information; track actions and dependencies leading to proposal kickoff.
  • Proposal planning: Lead proposal schedules, workplans, kickoff meetings, status reviews, submission calendars, compliance matrices, response outlines, assignments, and review cycles.
  • Cross-functional delivery: Coordinate technical, product, engineering, sales, finance, legal, and executive contributors while monitoring requirements, risks, approvals, and deliverables.
  • Submission management: Coordinate final reviews, approvals, production, quality checks, and submission readiness to support complete, compliant, and on-time responses.
  • Knowledge management: Maintain customer profiles, procurement calendars, capability statements, past-performance records, resumes, certifications, templates, and approved reusable content.
  • Sales enablement: Support customer briefings, proposal presentations, demonstrations, evaluations, and pilot programs with current and approved materials.
  • Reporting and improvement: Maintain dashboards and executive updates on pipeline health, priority pursuits, deadlines, submissions, compliance, outcomes, and win/loss information; identify practical process and data improvements.

Who Are You Really?

  • You are highly organized, detail-oriented, and able to coordinate multiple complex pursuits and deadlines.
  • You communicate clearly with technical, business, executive, government, and partner stakeholders.
  • You work independently, follow through consistently, and maintain accountability across contributors.
  • You handle sensitive opportunity information with sound judgment and appropriate security and data-handling practices.
  • You turn complex procurement and proposal information into clear actions, schedules, and decisions.

Qualifications:

  • 3–7 years of relevant experience in proposals, defense contracting, public procurement, capture management, proposal management, or business development, ideally across U.S. and international markets.
  • Active Confidential Security Clearance or higher.
  • Hands-on experience researching or managing opportunities through U.S. or international procurement and market-intelligence systems.
  • Experience coordinating government or commercial solicitations, including RFIs, RFPs, RFQs, tenders, BAAs, OTAs, SBIR/STTR opportunities, grants, or comparable vehicles.
  • Experience using HubSpot, Salesforce, or a similar CRM to maintain opportunity stages, activities, data, and reporting.
  • Strong project-management, written communication, organization, document-management, and stakeholder-coordination skills.
  • Ability to meet applicable employment, customer, system-access, export-control, security, and contractual requirements.

Preferred Experience:

  • Experience with SAM.gov, SeaPort, GovWin, GSA Schedules, OASIS, FedSim, Vulcan, U.S. Special Operations Command-related sources, NATO NSPA/NCIA, TED, or similar portals.
  • Experience in defense, aerospace, unmanned systems, robotics, ISR, communications, public safety, military technology, or commercial enterprise markets.
  • Familiarity with FAR/DFARS, international procurement, and ITAR/EAR considerations.
  • APMP certification or comparable proposal-management training.
  • Experience developing compliance matrices, capture plans, executive briefs, proposal libraries, and reusable content.

Compensation Package:

  • Competitive salary: $115,000–$140,000 USD
  • Health Coverage Reimbursement: We reimburse the cost of your existing or preferred healthcare plan (amount varies depending on family size).
  • 401(k) program with employer matching
  • Generous time-off program, including vacation, wellness days, and the week off between Christmas and New Year’s.
  • Professional development support, including assistance in obtaining or maintaining role-relevant certifications (e.g., FAA Part 107 Remote Pilot Certificate, where applicable)
