Position Summary
The Administrative Assistant provides essential administrative and organizational support to ensure smooth business operations. This role is responsible for managing schedules, handling communications, maintaining records, preparing documents, and supporting cross-functional teams. The ideal candidate is proactive, reliable, and capable of managing multiple priorities efficiently.

Salary Range: $45,000 – $75,000 annually, depending on experience and qualifications.
Key Responsibilities
Administrative Support
- Provide day-to-day administrative support to managers and teams.
- Prepare, edit, and format documents, reports, and presentations.
- Maintain organized digital filing systems and records.
- Handle routine correspondence and internal communications.
Calendar & Scheduling Management
- Manage calendars for executives and team members.
- Schedule meetings, appointments, and virtual conferences.
- Send meeting invitations, reminders, and follow-ups.
- Coordinate scheduling across multiple time zones.
Communication Handling
- Answer and direct emails, messages, and phone inquiries.
- Serve as a point of contact between departments and external partners.
- Ensure timely responses to internal and external requests.
- Maintain professional communication standards at all times.
Data Entry & Record Management
- Enter and update data in internal systems and databases.
- Maintain accurate records of meetings, contacts, and documents.
- Verify information for completeness and accuracy.
- Support data cleanup and organization initiatives.
Meeting & Project Support
- Prepare agendas, meeting materials, and presentations.
- Take meeting notes and distribute summaries.
- Track action items and follow up on deadlines.
- Support project coordination and tracking tasks.
Office Coordination (Remote)
- Support virtual office operations and workflows.
- Assist with onboarding new employees.
- Coordinate internal events, trainings, and meetings.
- Maintain operational efficiency across teams.
Compliance & Confidentiality
- Handle sensitive information with discretion.
- Follow company policies and administrative procedures.
- Maintain confidentiality of business and employee data.
- Ensure compliance with internal standards and regulations.
Qualifications
Required Qualifications
- High school diploma or equivalent required.
- 1–3 years of administrative, office support, or executive assistant experience.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office and Google Workspace.
- Ability to work independently in a remote environment.
- Strong attention to detail and accuracy.
- Reliable internet connection and home workspace.
Preferred Qualifications
- Associate’s or Bachelor’s degree in Business Administration or related field.
