The Supply Chain Operations Specialist will manage SKU data, purchase orders, and inventory integrity across various platforms. They are responsible for reconciling costs, supporting financial reporting, and ensuring process accuracy through documented SOPs.

Schedule: Monday–Friday, 40 hours per week, with at least four hours of daily overlap with 9:00 AM–5:00 PM US Eastern Time

About the Role
We are in search of a Supply Chain Operations Specialist who will own the operational execution layer of the supply chain department. You will maintain SKU data across systems, administer purchase orders and payments, protect the integrity of cost and inventory data, and support the reporting used for forecasting, purchasing, and COGS. Airtable serves as the central source of truth, ClickUp manages daily work, Google Drive houses the file library, and AI-powered workflows automate recurring tasks. Success requires more than running the process—you must understand the underlying supply chain data well enough to judge whether the output is correct.
Responsibilities
SKU Lifecycle Management: Create and maintain SKU records in Airtable, generate UPC barcodes and FNSKUs, and manage SKU rollovers from setup through completion.
Product Labels and Packaging Records: Coordinate SKU-related label updates with the designer, maintain accurate packaging files across Google Drive, Shopify, and Airtable, and verify all barcode and SKU details before supplier release.
Purchase Order Administration: Issue purchase orders to suppliers, calculate associated component requirements, and ensure PO data is complete and accurate.
Supplier Costs and Proforma Invoices: Review proforma invoice costs and record them accurately against purchase order lines in Airtable.
Payment and Purchasing Documentation: Maintain payment records, supplier confirmations, inspection reports, vendor credit documentation, and related purchasing files across Google Drive, Airtable, and ClickUp.
Accounts Payable Reconciliation: Support monthly AP reconciliation by tracking paid and unpaid items and ensuring the required documentation is complete and properly filed.
Inventory Validation: Run weekly inventory validation across every supply chain location and escalate discrepancies before they affect downstream reporting or decisions.
Cost and Landed Cost Accuracy: Reconcile open and historical purchase orders, maintain accurate cost data across systems, and verify landed cost by SKU and model.
Product Data and File Integrity: Keep product specifications current and maintain the Google Drive file library according to established standards.
Forecasting and Financial Reporting Support: Assemble the data required for weekly forecast outlier reviews and monthly FIFO and COGS reporting.
KPI and Stock Monitoring: Update monthly KPI trackers, monitor stock-in and stock-out status, communicate changes across the business, and maintain product lead-time data in Airtable.
Process and Data Quality Control: Follow documented SOPs precisely, validate automated outputs before taking action, and flag anomalies as soon as they are identified.
Competencies and Qualifications
Must-Have
At least 3 years of experience in supply chain, purchasing, or purchase order administration.
Shopify experience
Strong understanding of how a supply chain operates from purchasing through inventory, costing, and reporting.
Hands-on experience issuing purchase orders, entering supplier costs, tracking payments, following up on documentation, and maintaining accurate purchasing records.
Strong Microsoft Excel and Google Sheets skills, including confidence working with exports, lookups, and reconciliations.
Advanced written and verbal English communication skills at C1 level or above.
Nice-to-Have
Fluent in Airtable — comfortable working in a relational base, though not at developer level
Experience in Amazon Seller Central
Experience with imported goods or overseas manufacturing supply chains
A bookkeeping or accounts payable background
Day-to-day use of AI tools in your current work
