Eatontown, NJ or Remote: The Sales Operations Specialist is a core member of Aspire Technology Partners' Sales Operations department, serving as the operational link between the Sales organization, vendor partners, and internal delivery teams throughout the quote-to-cash process. This individual works across multiple web-based vendor and internal systems to build accurate technical configurations, secure competitive and special pricing, generate and revise customer quotes, and process bookings with precision in NetSuite. The role also acts as a front-line resource for resolving customer-related issues, coordinating with Account Managers, engineering teams, and vendor contacts to keep orders and pricing accurate from initial quote through fulfillment.

Success in this role depends on strong organizational skills, comfort navigating multiple systems and vendor portals simultaneously, and the ability to maintain a high level of professional, clear communication with stakeholders at every level of the organization, from Account Managers and engineering teams to senior management and external vendor representatives.

ESSENTIAL DUTIES AND RESPONSIBILITIES- MAY INCLUDE THE FOLLOWING: OTHER DUTIES MAY BE ASSIGNED.

Technical Configuration and Bill of Materials. Partner with Aspire and/or vendor engineering teams to acquire Bills of Materials or build configurations directly in vendor design and quoting tools. Request formal vendor quotes from technical/pre-sales teams in response to customer requirements.
 Price Deviations, Special Pricing, and Deal Registrations. Submit requests for special vendor pricing (deal registration, price deviation) through      vendor online portals and track them through to approval. Validate approved special pricing against the corresponding Aspire quote, and update Aspire's cost and customer-facing pricing accordingly. Monitor deal registration expiration dates and renew as required to protect margin and vendor incentives.
 Quoting. Build accurate quotes in response to requests from customers or Account Managers, confirming correct pricing, part numbers, and configurations before they are sent. Support Account Managers by answering quote-related questions and preparing revised quotes as customer requirements change.
 Order Processing and Fulfillment. Validate final pricing against the customer purchase order and the underlying vendor quote(s), then process      the order in the NetSuite ERP system. Create associated Professional Services projects or Managed Services agreements when the order includes those offerings, and confirm all order details are complete and accurate prior to submission.
Vendor and Distributor Coordination. Serve as a day-to-day point of contact with vendor and distributor representatives on quote and order status. Escalate vendor delays or discrepancies as needed to keep customer commitments on track.
 CRM/ERP Data Integrity. Maintain accurate, up-to-date records of quotes, opportunities, and orders in the CRM and NetSuite, ensuring pricing, configuration, and status information is current and reliable for reporting and forecasting.
 Customer Service and Issue Resolution. Serve as a resource for resolving customer-related issues such as order discrepancies and pricing questions, maintaining a high level of professional communication with customers and with all levels of internal management.
 Process Improvement. Identify opportunities to streamline quoting, pricing, and order processing workflows, and collaborate cross-functionally with Sales, Finance, and Service Delivery to implement improvements.

Requirements

Minimum Requirements:  

 - High School diploma or equivalent required 

 - Minimum of one (1) year relevant experience in office, supply chain or sales environment

 - Proficiency in Microsoft Outlook, Excel, Word or similar tools

Preferred Requirements:

  - Bachelors degree

 - 2+ years of experience in sales operations, order management, quoting, or a related role, ideally within an IT solutions provider, VAR, or technology distribution environment.

 - Knowledge of NetSuite, QuoteWerks, Cisco Systems tools and processes
