Description

We are seeking a highly organized and proactive Travel Coordinator to support the travel needs of our Field Operations teams, independent contractors, and prospective hires. This role is responsible for coordinating all aspects of business travel, including air, hotel, and ground transportation arrangements, while ensuring a seamless travel experience and maintaining cost efficiency.

The Travel Coordinator will partner closely with travel vendors and internal stakeholders to secure competitive rates, manage travel logistics, and support travel-related budgeting and expense reconciliation. This position plays a critical role in operational effectiveness and has a direct impact on company travel expenditures. The role will initially begin on a part-time basis with the expectation of growing into a full-time position as business needs expand.

Key Responsibilities

  • Coordinate and book all business travel arrangements, including airline, hotel, rental car, and other transportation reservations.
  • Manage travel needs for executives, Vice Presidents, Field Operations personnel, independent contractors, and prospective hires.
  • Ensure all travel bookings are accurate, timely, cost-effective, and aligned with company travel policies.
  • Build and maintain relationships with airlines, hotels, car rental agencies, and other travel partners to secure favorable rates and travel accommodations.
  • Monitor travel schedules and proactively address itinerary changes, cancellations, delays, and other travel-related issues.
  • Reconcile corporate credit card transactions and travel-related invoices, ensuring accuracy and compliance with company financial policies.
  • Track and manage travel expenses, identifying opportunities for cost savings and process improvements.
  • Communicate effectively with travelers and stakeholders, providing timely updates and resolving travel concerns.
  • Escalate complex issues appropriately while maintaining a high level of customer service and professionalism.

Required Qualifications

  • Experience coordinating corporate travel in a fast-paced business environment.
  • Hands-on experience using Sabre travel booking software.
  • IATA (International Air Transport Association) certification.
  • Strong organizational, prioritization, and time management skills.
  • Ability to work independently and manage multiple priorities simultaneously.
  • Excellent verbal and written communication skills.
  • Proven ability to adapt in a dynamic, high-volume, and frequently changing environment.

  • Ability to influence and collaborate with stakeholders without direct authority.
  • Strong problem-solving skills with sound judgment regarding when to escalate issues.

Job Type & Location

This is a Contract to Hire position based out of East Thetford, VT.

Pay and Benefits

The pay range for this position is $26.00 - $28.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
