We’re hiring a Remote Accounts and Admin Executive with experience in transactional and operational finance, statutory compliance, and general administrative functions. About the Role

The Remote Accounts and Admin Executive must be detail-oriented, organized, and capable of independently managing day-to-day accounting and administrative tasks while ensuring accuracy, compliance, and timely completion of responsibilities.

Key Responsibilities:

• Transactional/Operational Finance
  Issue customer invoices from confirmed orders, coordinating the handoff with Order Management.
  Track deposits and balance payments against delivery milestones, and chase overdue payments.
  Record supplier bills and expense claims in Quickbooks, and prepare payment runs for Director approval.
  Keep bank reconciliations in Quickbooks current at all times.
  Produce a monthly finance snapshot covering AR ageing, AP outstanding, and cash position.

• Statutory Compliance and Admin (Singapore)
  Own TMC's compliance calendar, tracking every statutory deadline from preparation through submission.
  Prepare monthly CPF contributions for Director approval and submission.
  Compile quarterly GST (F5) workings and supporting schedules.
  Prepare corporate tax inputs (ECI, Form C-S/C) and the supporting documents.
  Prepare and organise year-end files for the external accountant, and respond to their queries.
  Track and follow up on ACRA filings and other statutory submissions.
  Maintain finance records, vendor and contract records, and document control.

• General Admin
  Order office and operational consumables, such as stationery, packaging materials, and showroom supplies, and track the spend against budget.
  Keep a vehicle register covering servicing schedules, road tax, insurance, and inspection renewals, and send reminders ahead of due dates.
  Track renewals for subscriptions, licences, leases, and service contracts.
  Coordinate with vendors for office and showroom maintenance requests.
  Handle other ad-hoc administrative tasks as assigned by the Director.

• Skills:
  Average to excellent communication skills (both verbal and written in English)
  Hands-on experience using QuickBooks Online or other relevant accounting software 
  Proficiency in using Google Workspace, including Google Sheets, Docs, Slides, and other productivity tools.
• Requirements:
  Bachelor’s degree in Financial Management or any related field
  With more than 3 years of experience in full-cycle bookkeeping, accounting, or a related finance role
  Experience in accounts receivable, accounts payable, bank reconciliations, financial reporting is highly preferred
