Position Summary

The Records Management Specialist is responsible for organizing, maintaining, protecting, and managing company records and business documentation throughout their lifecycle. This position ensures that records remain accurate, accessible, secure, and compliant with company policies and applicable regulations.

The ideal candidate possesses exceptional organizational skills, strong attention to detail, excellent time management abilities, and the ability to handle confidential information with professionalism and discretion.

Key Responsibilities
Organize, maintain, and manage electronic and digital records in accordance with company policies and retention standards.
Review documents for accuracy, completeness, and proper classification before filing or archiving.
Process, scan, index, retrieve, archive, and securely dispose of records following established retention schedules.
Maintain confidential employee, client, vendor, and business documentation while ensuring data privacy and security.
Perform accurate data entry and document verification with a high degree of precision.
Respond promptly to internal requests for records, files, and business documentation.
Conduct routine audits to verify the accuracy, integrity, and completeness of records.
Assist with document retention, compliance, and records lifecycle management initiatives.
Maintain organized electronic filing systems using cloud-based document management platforms.
Prepare reports and maintain records activity logs as required.
Collaborate with internal departments to improve document workflows and records management processes.
Perform additional administrative and records management responsibilities as assigned.

Qualifications
High school diploma or equivalent.
Associate's degree or Bachelor's degree in Business Administration, Information Management, Records Management, Office Administration, or a related field is preferred.
Previous experience in records management, document control, administrative support, office administration, data entry, compliance, or related roles is preferred.
Strong organizational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Ability to prioritize work, meet deadlines, and manage multiple responsibilities independently.
High level of integrity, professionalism, and confidentiality.
