We are currently seeking a highly driven QA Manager Team Lead to join our operations in the United States.

The QA Manager Team Lead is responsible for developing and maintaining high standards of accuracy, consistency, and efficiency within the Title Research Department. This position provides training and ongoing development to title researchers while independently auditing completed files to ensure research meets company procedures, client requirements, and established quality standards. 

Serves as a resource for researchers who require assistance with complex title issues, research procedures, county-specific requirements, system processes, and documentation standards. The position works closely with management to identify training needs, recurring errors, workflow concerns, and opportunities for process improvement.

A key responsibility of this role is ensuring that employees not only understand how to complete title research, but also understand the reasoning behind research requirements and how to recognize potential gaps or problems before a file is delivered to the client.

 

Performance Objectives  

Training & Employee Development 

  • Train new and existing employees in company title research procedures, standards, systems, and client-specific requirements.
  • Provide structured onboarding and hands-on training for title researchers.
  • Train researchers on residential, commercial, and/or energy title research, as applicable to their assigned responsibilities.
  • Educate employees on proper examination of public records and identification of relevant instruments affecting title.
  • Provide instruction regarding deeds, deeds of trust, liens, releases, assignments, easements, probate matters, judgments, tax records, plats, restrictions, and other recorded instruments.
  • Teach researchers how to establish and document the appropriate chain of title based on the scope of the requested search.
  • Train employees to recognize breaks in the chain of title, missing documents, unreleased liens, ownership discrepancies, legal description issues, and other potential title concerns.
  • Provide additional coaching or remedial training when audit results identify areas requiring improvement.
  • Crosstrain employees as necessary to strengthen departmental coverage and succession planning.
  • Maintain training materials, written procedures, reference guides, and training records.
  • Communicate procedural or system changes to employees and ensure changes are understood and implemented.

File Auditing & Quality Control 

  • Conduct comprehensive audits of completed title research files before or after delivery, depending on departmental workflow.
  • Confirm that the research performed meets the requested search parameters and client requirements.
  • Verify that the researcher has completed the appropriate search period and established the required chain of title.
  • Review vesting information, conveyances, liens, releases, assignments, judgments, probate records, taxes, easements, restrictions, and other applicable documents.
  • Verify that legal descriptions, property information, owner names, recording information, and document references are accurately reported.
  • Confirm supporting documents and images have been properly obtained, labeled, and included in the file when required.
  • Identify missing documents, incomplete searches, incorrect indexing, reporting errors, or inconsistencies.
  • Ensure exceptions, research limitations, unusual findings, and potential title issues are clearly documented.
  • Confirm that file notes are complete and provide sufficient information for another researcher, examiner, manager, or client to understand the research performed.
  • Return files requiring correction with clear instructions explaining the issue and required resolution.
  • Conduct follow-up reviews to verify corrections have been properly completed.
  • Escalate significant or recurring concerns to management.

Quality Assurance & Performance Monitoring 

  • Track audit findings and identify recurring errors or trends by researcher, client, project, or research type.
  • Distinguish between isolated mistakes and patterns that indicate a training or procedural issue.
  • Provide constructive feedback to employees regarding audit results.
  • Work with management to develop corrective training plans when performance deficiencies are identified.
  • Monitor improvement following additional training or coaching.
  • Assist management in establishing measurable quality standards and audit expectations.
  • Support a consistent quality control process across the department.
  • Recommend updates to procedures when audit findings indicate an opportunity to reduce errors or improve efficiency.
  • Maintain appropriate documentation of audits, corrections, coaching, and training.

Research Standards 

The Trainer/Auditor is expected to reinforce the following principles throughout the department:

  • Accuracy: Information reported must accurately reflect the public records researched.
  • Completeness: Research must satisfy the full scope of the client's order.
  • Documentation: Research decisions and unusual findings must be adequately documented.
  • Consistency: Researchers should follow established company and client procedures.
  • Accountability: Errors should be identified, corrected, and used as opportunities for improvement.
  • Due Diligence: Researchers are expected to investigate discrepancies rather than simply pass incomplete or questionable information forward. 

 

Competitive Candidate Profile 

Required 

  • Strong experience in title research, abstracting, title examination, or a closely related field.
  • Thorough understanding of real property records and title research procedures.
  • Ability to establish and review chains of title.
  • Strong knowledge of common recorded instruments affecting real property.
  • Ability to recognize inconsistencies, missing information, and potential title defects.
  • Strong analytical and critical-thinking skills.
  • Exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to explain complex title concepts clearly to employees with varying levels of experience.
  • Ability to provide constructive feedback professionally and objectively.
  • Strong organizational and documentation skills.
  • Ability to manage multiple training and auditing responsibilities simultaneously.

Preferred 

  • Previous experience training or mentoring title researchers.
  • Previous quality control or auditing experience.
  • Experience with Texas real property research.
  • Experience researching multiple Texas counties and understanding differences in county indexing and record availability.
  • Experience with residential, commercial, and energy/oil and gas title research.
  • Familiarity with title production and research platforms used by the company.
