๐ฏ The Role
We are hiring a Product Operations Manager to make Medify's product organisation more effective as we scale.
You will own and continuously improve the systems, processes, tooling and insights that help Product, Engineering, Design and Learning work together consistently and deliver better products, faster. You will enable Product Managers to spend more time on strategy, customer discovery, prioritisation and outcomes by removing operational friction and creating trusted ways of working.
This is not a Product Manager or delivery manager role. The Head of Product and Product Managers remain accountable for product strategy, priorities and deciding what we build and why. You will improve the system in which those decisions are turned into high-quality delivery.
๐ง What You'll Do
Own the product operating system
- Maintain and continuously improve Medify's product playbook, templates and documentation.
- Standardise discovery outputs, product requirements, ticket writing, refinement and handover practices across squads.
- Improve the cadence for roadmaps, OKRs, planning, reporting, showcases and retrospectives.
- Make ownership, decision points and handoffs clear across Product, Engineering, Design and Learning.
- Introduce lightweight processes where they add value, and remove processes or meetings that no longer do.
Improve the ProductโEngineering operational interface
- Partner closely with the Engineering Managers on refinement, backlog standards, planning logistics, workflows, delivery reporting and release processes.
- Identify recurring bottlenecks and help teams resolve their root causes.
- Follow up actions from retrospectives and cross-functional reviews so improvements are completed.
- Support consistent documentation, product QA, release checklists and feature flag governance.
- Escalate strategic trade-offs, capacity decisions and major organisational risks to the Head of Product and Engineering Managers.
Own product tooling and AI workflows
- Own and improve the product team's internal tooling, including Notion, GitHub, product templates and analytics tools such as PostHog.
- Identify repetitive work that can be simplified or automated.
- Design and maintain practical AI workflows that improve PM productivity and quality.
- Establish clear conventions and governance so tools remain trusted and easy to use.
- Evaluate new tools based on measurable team needs rather than novelty.
Strengthen product insight and reporting
- Maintain trusted product dashboards and product health reporting.
- Coordinate customer feedback and help create a usable, searchable insight repository.
- Bring together evidence from analytics, interviews, support and product usage.
- Track feature adoption and surface trends, risks and opportunities.
- Produce concise, decision-useful reporting for Product leadership and the wider business.
Enable and develop the product team
- Build onboarding and training resources for new Product Managers and Associate Product Managers.
- Coach colleagues on Medify's product processes, tools and documentation standards.
- Share effective practices across squads while allowing teams appropriate autonomy.
- Organise product showcases and improve how learning travels through the organisation.
- Help Product Managers spend more of their time with customers and solving the right problems.
๐ค How You'll Work with Product and Engineering Leadership
You will be the primary owner of the day-to-day operational interface between Product and Engineering.
The Head of Product and Engineering Managers will continue to jointly own strategic priorities, capacity trade-offs, squad structure, major delivery risks, hiring and organisational decisions. You will make those conversations more effective by ensuring the underlying processes, information and follow-through are reliable.
A useful distinction is:

Essential
- Experience in Product Operations, Product Management, Programme Management or a closely related role in a technology organisation.
- A track record of building or improving product processes in a scaling company.
- Excellent written communication and documentation skills.
- Strong organisational skills and the ability to turn ambiguity into simple, workable systems.
- Experience with product and delivery tooling such as Notion, Jira and analytics platforms.
- Data literacy and confidence using qualitative and quantitative evidence.
- Comfortable influencing across functions without relying on formal authority.
- A continuous-improvement mindset, with good judgement about when process helps and when it gets in the way.
- Comfortable working independently in a high-autonomy, remote environment.
Nice to have
- Experience in EdTech, SaaS or another digital product business.
- Experience using product analytics tools such as PostHog.
- SQL or hands-on analytics experience.
- Experience implementing OKRs, roadmaps or product operating cadences.
- Experience designing internal AI workflows or automations.
- Experience supporting product quality, experimentation or release governance.
