About the Role

Rosenblum Law is looking for a full-time Personal Injury Intake Manager to help manage and improve our personal injury and medical malpractice intake operation.

This is a fully remote role for someone who understands legal intake, knows how to qualify injury cases, and can help turn more leads into signed cases.

We already have team members handling intakes and backend follow-up. We are looking for someone who can come in, manage the day-to-day intake process, coach the team, improve follow-up, and increase the number of qualified cases we sign.

This is not just an administrative management role. We need someone who is hands-on, organized, numbers-driven, and comfortable holding the intake team accountable.

What You’ll Do

  • Manage the personal injury and medical malpractice intake process from first contact through signed case
  • Supervise and coach intake team members
  • Handle personal injury and medical malpractice intakes when needed
  • Review calls and provide clear feedback to improve performance
  • Improve intake scripts, call flow, qualification questions, and follow-up cadence
  • Help the team identify strong personal injury and medical malpractice cases faster
  • Create clear standards for strong leads, weak leads, urgent leads, and leads that are not a fit
  • Track leads through the pipeline and make sure no strong lead falls through the cracks
  • Work with backend operations to make sure follow-up is completed properly and on time
  • Prioritize urgent, high-value, and time-sensitive leads
  • Monitor team performance, including response time, completed intakes, follow-up attempts, signed cases, and conversion rates
  • Create simple weekly reports for leadership
  • Identify bottlenecks in the intake process and recommend practical improvements
  • Test new strategies to increase completed intakes and signed case volume
  • Work directly with firm leadership to improve the overall intake system

What We’re Looking For

  • Experience in personal injury intake, medical malpractice intake, legal intake, legal sales, call center management, or law firm operations
  • Strong English communication skills
  • Spanish fluency is a plus
  • Experience working remotely for a U.S.-based company preferred
  • Strong understanding of how to qualify injury leads
  • Comfortable speaking with potential clients by phone
  • Comfortable managing, coaching, and holding team members accountable
  • Strong follow-up skills and attention to detail
  • Comfortable reviewing calls and giving direct feedback
  • Organized and able to manage multiple open leads at once
  • Comfortable using CRMs, spreadsheets, call tracking tools, and internal messaging systems
  • Able to work independently in a remote environment
  • Numbers-driven and focused on measurable results
  • Professional, reliable, and highly responsive during working hours

Preferred Experience

  • • Prior experience working for a U.S. personal injury law firm
  • • Prior experience with medical malpractice intake
  • • Experience managing intake staff or sales staff
  • Experience improving intake scripts or workflows
  • Experience tracking conversion rates and team performance
  • Familiarity with common personal injury case types, including car accidents, slip and falls, construction accidents, workplace injuries, wrongful death, nursing home neglect, and medical malpractice

What Success Looks Like

  • More qualified leads complete intakes
  • More completed intakes become signed cases
  • Faster response time to new leads
  • Better follow-up on open leads
  • Better lead qualification
  • Fewer missed opportunities
  • Stronger team performance
  • Cleaner reporting and better visibility into the intake pipeline
  • A repeatable intake process that can scale as lead volume grows

Remote Work Expectations

  • Fully remote position
  • Must be available during U.S. business hours
  • Must have a quiet professional work environment
  • Must have reliable internet and phone access
  • Must be comfortable communicating by phone, video, email, and internal messaging tools
  • Must be responsive and available throughout the workday
  • Must be able to manage work and team accountability without in-person supervision

Compensation

  • Compensation will depend on experience.
  • Expected range: $2,500 to $3,500 USD per month
  • Candidates with strong personal injury intake management experience may be considered at a higher rate.
  • Performance bonus potential is available based on measurable improvements, including:
  • Completed qualified intakes

  • Lead-to-intake conversion rate
  • Intake-to-signed-case conversion rate
