Position Summary
The Payroll Specialist is responsible for supporting and processing accurate and timely payroll for Campbell Business Solutions, LLC and its clients. This position is designed for a highly organized, detail-oriented, and dependable professional who understands the importance of accuracy, confidentiality, deadlines, and compliance when handling payroll information.
The Payroll Specialist will work closely with management, clients, and team members to collect payroll information, process payroll, maintain accurate employee and payroll records, resolve payroll discrepancies, and help ensure payroll requirements are completed on schedule.
The ideal candidate is comfortable working independently in a remote environment, managing multiple client payroll schedules, handling sensitive financial and employee information, and communicating professionally with clients and team members.
Core Responsibilities - Payroll Specialist
- Process weekly, biweekly, semimonthly, and monthly payrolls accurately and on schedule.
- Collect, review, and verify employee hours, wages, salaries, deductions, reimbursements, bonuses, commissions, and other payroll-related information.
- Enter and maintain employee payroll information within applicable payroll systems.
- Review payroll reports for accuracy before payroll is finalized.
- Identify and assist with resolving payroll discrepancies, missing information, or processing errors.
- Maintain accurate and organized payroll records and supporting documentation.
- Process employee payroll changes, including new hires, terminations, compensation changes, deductions, and direct deposit updates.
- Assist with client and employee payroll-related questions in a professional and timely manner.
- Maintain payroll calendars and monitor payroll submission and processing deadlines.
- Assist with payroll tax documentation, reporting, and other payroll compliance requirements.
- Support quarterly and year-end payroll processes, including reviewing payroll records and assisting with W-2 and 1099 preparation as applicable.
- Coordinate with bookkeeping and accounting team members to ensure payroll information is properly documented and recorded.
- Assist with payroll reconciliations and review payroll-related accounts for accuracy.
- Maintain confidentiality of employee, client, payroll, tax, and financial information.
- Maintain organized digital payroll files and client documentation.
- Follow established payroll procedures and internal quality-control processes.
- Communicate with management regarding payroll issues, approaching deadlines, missing client information, or other concerns.
- Assist with improving payroll procedures, checklists, documentation, and workflows.
- Perform other payroll, accounting support, and administrative duties as assigned.
Required Qualifications

- Proficiency with Microsoft Office Suite, particularly Excel and Outlook.

- Comfortable learning and working with payroll and accounting software.

Preferred Qualifications
- Experience processing payroll for multiple clients or businesses.
- Experience with payroll software or cloud-based payroll platforms.
- Familiarity with QuickBooks or similar accounting software.
- Understanding of payroll deductions, payroll taxes, wage calculations, and employer payroll responsibilities.
- Experience processing new hires, terminations, direct deposits, and employee payroll changes.
- Experience assisting with payroll reconciliations and payroll reporting.
- Familiarity with quarterly and year-end payroll processes, including W-2 and 1099 reporting.
- Experience working in a bookkeeping, accounting, payroll, or professional services environment is a plus.

As the Payroll Specialist develops greater expertise in payroll processing, compliance, client management, and accounting operations, the position may progress into roles such as Senior Payroll Specialist, Payroll & Bookkeeping Specialist, Payroll Manager, or other accounting and operations positions.
Additional responsibilities may include managing more complex client payrolls, reviewing payroll prepared by other team members, assisting with payroll implementation and onboarding, training team members, and overseeing payroll processes.
