The Mission

Our Organized Play managers own their events. You own the machine that makes every one of them possible. Reporting to the Sr. Premier Play Manager, you are the operational backbone of our global competitive circuit, every Riftbound Regional, every Riftbound Continental, every Showdown Series, in every region of the world. When a venue is secured, a crew is staffed, prizing lands on time, a contract is signed and an invoice is paid, that is your work. Nobody sees the backbone when it works. Everybody feels it when it doesn't. 

This is a global role: you serve our teams in North America, LATAM, APAC and EMEA alike, and you are the single point of consistency across all of them.

Key Responsibilities

  • Event Backbone (Global): You prepare and maintain the operational foundation of every event on our global calendar (ship sheets, hotel bookings, venue files, and the pre-event readiness checklist). You are the person who guarantees that every event has what it needs, when it needs it.
  • Venue & Partner Coordination: You handle the day-to-day coordination with our venue and event partners, driving the practical steps forward: requirements, availability, paperwork, timelines and follow-up. Commercial negotiation sits with the Organized Play management team; you own flawless execution around it.
  • Internal Staffing Logistics: You coordinate internal staffing and crew logistics for our premier events (travel, accommodation, on-site scheduling and paperwork). Judge staffing is handled by our tournament partners; you are the counterpart who keeps our own people organised.
  • Contract & Invoice Administration: You maintain the single source of truth for Organized Play contracts (broadcast, talent, cosplayers, venues, etc). You collect signatures, track expiry and renewal dates, process invoices, and act as the operational interface with our Legal and Finance teams.
  • Prizing Logistics: You own the physical journey of prizing to every event worldwide: shipment planning, deadlines, tracking and inventory follow-up, working hand in hand with our Prizing & Promo Manager, who sets the prizing strategy.
  • Budget Tracking: You raise purchase orders, track event spend against budget, flag overruns early, and deliver regular reporting to the Sr. Premier Play Manager, who owns budget decisions. Over time, you become the person who can answer what any of our events actually costs.
  • Operational Records: You keep our Organized Play operations records clean and findable (folder structure, naming, versioning and archiving of ship sheets, contracts, invoices and event data). Each manager writes their own event documentation; you make sure it can always be found.

Who You Are

  • Relentlessly Organised: You run a dozen parallel deadlines, made by our Project managers, across multiple time zones without losing a single one. Checklists, trackers and follow-up reminders are second nature to you.
  • Detail-Obsessed: A wrong shipping address, a missing signature or an unbooked room becomes a very visible problem on event day. You catch those things before anyone else notices them.
  • A Natural Follow-Upper: You chase politely and persistently. You are comfortable pushing vendors, partners and internal colleagues to hit dates, without ever burning the relationship.
  • Calm Under Event Pressure: Live events break plans. When something falls through 48 hours before doors open, you rebuild the solution instead of escalating the panic.
  • Autonomous & Trustworthy: You work across distributed teams with minimal supervision, you handle sensitive contractual and financial information with discretion, and you say clearly when something is off track.


Nice to Have Qualities

  • Experience: 2+ years in event operations, event coordination, logistics, or a similar operational support role. Experience supporting large-scale live events is a strong plus.
  • Operational Toolkit: Strong Microsoft and Google Suite skills, with a focus on spreadsheet management. Comfortable with project tracking tools, and a proven ability to build and maintain clean documentation and trackers.
  • Admin & Finance Literacy: Hands-on experience with purchase orders, invoices, vendor paperwork and budget tracking. You are not intimidated by finance processes.
  • Languages: Native or fluent English (C1/C2) is mandatory. Additional languages are a plus given the multi-region scope of the role.
  • Cultural Affinity (Bonus): You do not need to be a hardcore gamer or a TCG player. A personal interest in Pop Culture, Video Games, or Entertainment is a plus. It helps you understand the passion of our players. We value your operational rigor above all, but a love for the culture goes a long way.
  • Mobility: Willingness to attend roughly one major event per quarter, including weekends, anywhere in the world.
