Operations & Project Coordinator



We are looking for a proactive, versatile, and problem-solving Operations & Project Coordinator to act as the right hand to the Country Manager of IN2 in Ukraine.

In this role, you will help streamline internal country operations, support the execution of specific projects, and assist with business development efforts (including bid writing) and project evaluation (MEL). This is a dynamic role designed for someone who can quickly grasp the context of a task, work independently, and relieve the Country Manager’s workload by driving specific assignments forward.


This position is offered on a fixed-term basis until 30 April 2027, with the potential for extension depending on project needs.

 

Responsibilities:



  • Operational Coordination: Assist in optimizing workflows, managing internal documentation, and streamlining communications across country operations.
  • Task Execution: Take charge of specific, targeted tasks within ongoing projects as assigned by the Country Manager.
  • Follow-ups & Tracking: Track project deadlines, milestones, and action items to ensure smooth project implementation.
  • Proposal Writing: Assist in drafting, editing, and assembling high-quality project proposals, concepts, and bids for international donors.
  • Market & Donor Tracking: Help monitor funding opportunities, donor pipelines, and open tenders in Ukraine.
  • Documentation Prep: Prepare necessary institutional documents and background materials for upcoming bids.
  • Data Collection: Support the gathering of qualitative and quantitative data from project sites or partners.
  • Reporting Assistance: Help draft clear, data-driven progress reports for donors and internal stakeholders based on established MEL indicators.
  • Tracking Logs: Maintain update logs and spreadsheets related to project performance and lessons learned.



Qualifications:



  • 5+ years  of professional experience in project coordination, administration, or business development.
  • Prior experience working within international development projects, humanitarian organizations, INGOs, or collaborating with Ukrainian state institutions/ministries.
  • Practical experience in assisting with grant/proposal writing and a solid understanding of monitoring and evaluation concepts (KPIs, logical frameworks).
  • Practical understanding of how international donors (e.g., USAID, EU, UN agencies) operate.
  • Advanced English and Ukrainian (both written and spoken) are required, as you will be drafting parts of proposals and reports in English.
  • Ability to work independently and take ownership of tasks.
  • Quick learner with the ability to swiftly understand the context of a task.
  • Proactive, flexible, and adaptable ("легкий на підйом").
  • Strong problem-solving mindset—focused on finding solutions rather than creating obstacles.
