Job Description

Join a mission-driven organization dedicated to empowering individuals and strengthening communities. As an Onboarding Specialist, you’ll play a vital role in creating a seamless, positive hiring experience for new team members. You’ll coordinate every step of the onboarding process; from background checks to welcome letters—while ensuring compliance with state and federal regulations. Your work will help new hires feel supported and set them up for success from day one. 

WHAT YOU WILL DO: 

  • Coordinate the Onboarding Experience: Manage the end-to-end onboarding process by sending offer documentation, background check packets, and welcome communications while ensuring new hires complete all required paperwork and attend orientation on time.
  • Ensure Hiring Compliance: Conduct and track background checks, reference verifications, and motor vehicle record (MVR) screenings while maintaining compliance with company policies and state and federal regulations.
  • Maintain Hiring Records: Prepare weekly orientation rosters, manage personnel and licensing files, and ensure all candidate and employee information is accurate and up to date within the applicant tracking system.
  • Partner Across Teams: Collaborate closely with Talent Acquisition, Human Resources, and Operations to deliver a seamless onboarding experience and support staffing needs across the organization.
  • Drive Process Excellence: Stay informed on employment laws and licensing requirements, identify opportunities to improve onboarding processes, and contribute to special projects that enhance the overall hiring experience.

Qualifications

MUST HAVE

  • Education: High school diploma or GED required.
  • Experience: 2+ years of Human Resources experience with a focus on recruiting, onboarding, interviewing, hiring, or HR administration.
  • Compliance Knowledge: Working knowledge of federal and state employment laws, hiring regulations, and confidentiality requirements, with the ability to handle sensitive employee information professionally.
  • HR Systems: Experience using Applicant Tracking Systems (ATS) and HR onboarding platforms such as SmartRecruiters, Workday, UltiPro, or similar systems.
  • Technical Skills: Proficiency with Microsoft Office, including Excel, Outlook, and Word, with the ability to manage reports, track onboarding progress, and maintain accurate records.
  • Organization & Communication: Strong organizational skills with the ability to manage multiple priorities, communicate effectively, and provide an exceptional onboarding experience for new hires.

NICE TO HAVE

  • Industry Experience: Experience supporting onboarding or Human Resources within healthcare, human services, or another highly regulated industry.
  • Timekeeping Systems: Experience using Kronos or other workforce management systems to support attendance and compliance.
  • HRIS & Payroll: Experience with HRIS and payroll systems such as Workday, UltiPro, Ultimate Software, or People Assist.
  • Education: Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Professional Certifications: PHR, SHRM-CP, SHRM-SCP, CHRS, or other Human Resources certifications.

  • Compliance & Regulatory Knowledge: Strong understanding of federal and state employment laws, leave administration, and workplace regulations relevant to onboarding processes. 

  • Professionalism, Integrity & Collaboration: Maintain confidentiality and handle sensitive employee information responsibly while demonstrating a positive, professional attitude, and build strong working relationships across HR, recruiting, operations, and other departments to ensure a seamless onboarding experience.
