The Throughput Manager is responsible for overseeing and optimizing the end-to-end patient flow across Mental Health services, ensuring efficient movement of patients from initial referral and access through scheduling, treatment initiation, ongoing care coordination, and revenue cycle readiness.

This role provides operational leadership for intake, patient access, scheduling, provider capacity management, referral conversion, care coordination, billing throughput, and process improvement initiatives. The Throughput Manager partners closely with clinical, operational, and administrative leaders to maximize patient access, improve patient experience, increase provider utilization, reduce delays in care, and support organizational growth.

The Throughput Manager serves as a key operational leader responsible for identifying bottlenecks, implementing scalable workflows, and ensuring patients receive timely, high-quality care throughout their entire treatment journey.

Description

Essential Responsibilities 

Leadership & Team Management 

  • Directly supervise Intake Coordinators, Scheduling Specialists, Access Coordinators, and other operational support staff. 

  • Recruit, onboard, train, and develop team members. 

  • Conduct regular one-on-one meetings, coaching sessions, and performance evaluations. 

  • Establish productivity, quality, and service expectations. 

  • Develop staffing models and schedules to ensure adequate coverage. 

  • Manage attendance, PTO approvals, and workforce planning. 

  • Foster a culture of accountability, collaboration, and continuous improvement. 

Patient Access & Intake Management 

  • Oversee all patient intake and access workflows. 

  • Ensure timely response to referrals, inquiries, and appointment requests. 

  • Monitor and improve new patient conversion rates. 

  • Reduce barriers to care and improve speed to first appointment. 

  • Develop strategies to minimize appointment delays and improve patient experience. 

  • Maintain waitlists and implement backfill strategies. 

Throughput & Capacity Management 

  • Monitor patient flow across the continuum of care. 

  • Optimize provider schedules and template utilization. 

  • Forecast provider capacity and identify opportunities to increase access. 

  • Monitor visit completion rates, cancellations, no-shows, and rescheduling patterns. 

  • Develop strategies to improve continuity of care and reduce patient leakage. 

  • Support service expansion planning and resource allocation. 

Referral & Care Coordination Management 

  • Oversee internal and external referral processes. 

  • Monitor referral aging and conversion metrics. 

  • Ensure seamless transitions between levels of care and services. 

  • Collaborate with referral sources and internal stakeholders to improve access and patient retention. 

  • Ensure referral documentation and authorization requirements are completed timely. 

Revenue & Operational Throughput 

  • Partner with Revenue Cycle teams to identify operational barriers impacting billing and claims submission. 

  • Monitor scheduling and registration accuracy to minimize claim denials. 

  • Support processes that improve charge capture and reduce delays in revenue realization. 

  • Collaborate on workflow improvements that impact financial performance and patient access. 

Operational Excellence & Process Improvement 

  • Develop, standardize, and maintain operational workflows and SOPs. 

  • Identify inefficiencies and implement process improvement initiatives. 

  • Lead operational projects and system implementations. 

  • Coordinate onboarding activities for new providers to ensure operational readiness. 

  • Support new program launches, market expansions, and strategic initiatives. 

  • Utilize Lean principles and data-driven methodologies to improve throughput. 

Data, Reporting & Analytics 

  • Monitor key operational dashboards and KPIs. 

  • Analyze trends related to patient access, provider utilization, conversion, throughput, and retention. 

  • Develop weekly and monthly leadership reports. 

  • Utilize Excel, business intelligence tools, and reporting platforms to identify opportunities for improvement. 

  • Present operational findings and recommendations to leadership. 

Quality & Compliance 

  • Ensure compliance with HIPAA and organizational policies. 

  • Monitor scheduling, registration, and documentation accuracy. 

  • Conduct audits and implement corrective actions as needed. 

  • Ensure payer, authorization, and credentialing requirements are met. 

  • Support organizational quality improvement initiatives.

Target Compensation - $70,000-80,000

Qualifications

Required 

  • Bilingual.  

  • Bachelor's degree in Healthcare Administration, Business Administration, Public Health, Psychology, or a related field (or equivalent experience).  

  • 3–5 years of healthcare operations or patient access experience.  

  • 2+ years of leadership or supervisory experience.  

  • Experience with mental health.  

  • Strong knowledge of scheduling workflows and patient access management.  

  • Advanced proficiency in Microsoft Excel and reporting tools.  

  • Experience with electronic health record (EHR) systems.  

Compensation:

Compensation Dependent Upon Location and Experience
