The Medical Records Abstraction VA will organize and review patient medical records, utilizing AI tools to generate and verify accurate summaries for workers' compensation cases. They will assemble these summaries into structured encounter notes while adhering to established templates and security protocols.
This is a remote position.
We are looking for a Medical Records Abstraction VA to support workers’ compensation case documentation.
The role involves reviewing patient medical records from multiple sources, organizing and renaming files, using an AI-powered summarization tool, reviewing the generated summaries for accuracy, and assembling the information into structured encounter notes.
Records may include ER visits, treating physician reports, diagnostic reports such as MRIs, therapy records, operative reports, and medical-legal evaluations.
This is a documentation and data abstraction role, not a clinical role. The VA will follow established templates and workflows.
If abstraction volume does not fill the full 20 hours per week, the VA may also assist with referral research.
Key Responsibilities
Access and organize client-provided medical records.
Rename and organize files according to the client's naming and filing conventions.
Review records such as ER reports, physician notes, diagnostic reports, therapy records, operative reports, and medical-legal evaluations.
Run individual records through the client's AI summarization tool.
Review AI-generated summaries against the original records and identify inaccuracies, missing information, or inconsistencies.
Assemble summarized information into structured encounter notes.
Organize documentation by body part and injury according to the client's workflow.
Apply the appropriate standard template based on the claim type.
Document operative reports separately when required.
Identify and flag missing records or incomplete documentation.
Maintain clean, accurate, and consistently formatted records.
Keep all patient and client information within the designated client-provided environment.
Follow the client's documentation, security, and quality-control procedures.
Make corrections based on client feedback and QC findings.
When abstraction volume is below 20 hours per week, assist with referral research after completing cross-training.
Previous experience in medical records, medical documentation, healthcare administration, medical data entry, medical billing, insurance verification, or a related healthcare role.
Strong attention to detail and ability to identify missing or inconsistent information.
Comfortable reviewing medical records and healthcare documentation.
Strong written English and comprehension skills.
Excellent data-entry and documentation skills.
Comfortable working with spreadsheets, digital files, databases, or healthcare systems.
Able to follow detailed templates and established workflows.
Comfortable using AI-assisted tools while independently verifying the accuracy of the output.
Able to handle repetitive documentation work while maintaining accuracy.
Comfortable working independently after training and incorporating QC feedback.
Reliable internet connection and a suitable work-from-home setup.
Preferred Qualifications
Experience with workers' compensation documentation.
Experience with medical records abstraction.
Experience reviewing physician notes, diagnostic reports, therapy notes, operative reports, or medical-legal reports.
Experience with EMRs/EHRs or medical documentation systems.
Experience with medical billing or claims documentation.
Experience using AI tools for documentation, summarization, or data processing.
Experience with provider research, referral coordination, or insurance verification.
