We are looking for a Marketing Support Specialist to help build and operate the infrastructure behind a corporate and securities law firm's marketing and business-development efforts. This role sits at the intersection of professional services marketing, CRM management, content operations, and business development process design.

In this position, you will help transform a referral-driven firm into a structured, repeatable business development engine. Operating as the operational force behind the scenes, you will manage CRM data, research prospective enterprise clients, package polished capabilities decks, monitor RFPs, and coordinate attorney-led outreach and content initiatives.

This is a marketing-first role with a strong business-operations component. You do not need legal expertise; the firm's attorneys own the subject-matter expertise and will provide and review all legal content. Your job is to package that expertise into clean, competitive, and professional marketing and business-development execution while maintaining strict compliance boundaries.

Accountability 

As a Marketing Support Specialist, your success will be defined by your ability to professionalize business development processes, maintain pristine database integrity, and enable attorney-led relationship expansion through structured collateral and research.

Here’s how you’ll make an impact:

CRM Infrastructure & Database Operations

  • Establish clean CRM architecture as the central system of record for active clients, alumni accounts, prospects, venture capital networks, accelerators, and referral partners.
  • Lead a comprehensive database cleanup project of ~300 former-client records, evaluating entity activity, categorizing accounts, and segmenting historical contacts.
  • Enforce strict compliance boundaries and conflict-clearance checkpoints before flagging any historical entity or prospective contact for attorney re-engagement.
  • Record ongoing business development activity, track relationship statuses, and establish reliable CRM maintenance processes to support pipeline reporting.

Business Development, Research & Opportunity Tracking

  • Conduct commercial, industry, and background research on prospective clients prior to attorney pitch meetings to ensure high-grade meeting preparation.
  • Monitor corporate legal RFPs, fractional/outside general counsel requests, and business opportunities aligned with the firm's legal capabilities.
  • Establish repeatable business development operating procedures, including stage tracking, referral-source mapping, pitch checklists, and campaign workflows.

Marketing Collateral, Decks & Content Operations

  • Maintain and customize capabilities decks, pitch materials, and service descriptions tailored to specific corporate audiences while ensuring visual and brand consistency.
  • Own the operational production of the firm’s external newsletters, from content organization and drafting/editing through distribution and contact segmentation.
  • Support attorney LinkedIn presences through content formatting, scheduling, repurposing expertise, and content calendar management.
  • Collaborate on website content maintenance, ensuring firm service information, attorney profiles, and digital collateral remain accurate and aligned.

Client Re-Engagement & Campaign Sequencing

  • Plan and build structured, segmented email and re-engagement campaigns targeting pre-cleared contact lists.
  • Prepare draft copy, sequence schedules, and maintain execution tracking for attorney review and approval.
  • Ensure all outreach and external communication are deployed strictly through named attorneys, operating as the engine behind the process rather than a direct client prospector.

Colleagues 

You will work directly with the Principal, Chief of Staff, and Senior Associates, acting as the primary marketing and business development operator supporting the firm's attorneys. At Oceans, you’ll also receive guidance and support from your Operations Manager, who will help you succeed in the role and ensure that you’re continuously growing and developing in your career.

Skills and Qualifications

As a Marketing Support Specialist, your vertical strength will be professional services CRM management and business development operations, while your horizontal capabilities should span marketing copy editing, collateral production, and competitive research.

To excel in this role, you should have:

  • Experience: Mid-level B2B marketing or business development operations experience within professional services (e.g., legal services, accounting, consulting, advisory, or high-touch B2B services).
  • CRM & Data Hygiene: Practical experience in CRM administration, database cleanup, contact segmentation, pipeline tracking, and workflow management.
  • Collateral & Content Skills: Hands-on experience updating capabilities decks, building newsletters, managing digital content, and leveraging modern design and drafting platforms (including AI-assisted tools like Claude or Claude Design).
  • Process & Compliance Discipline: Exceptional attention to detail with strict adherence to review protocols, conflicts clearance, and organizational workflows.
  • Writing & Communication: Outstanding written English and concise business writing abilities, with the skill to translate SME input into polished, professional copy.
  • Mindset: Highly responsive, discreet, detail-oriented, and comfortable operating behind the scenes to empower senior legal stakeholders.

During the interview process, you’ll have the opportunity to showcase your skills in the following areas:

  • Writing & Collateral Drafting: Demonstrating your ability to draft, edit, and format professional business copy and collateral tailored for B2B audiences.
  • CRM & Process Design: Showing how you structure contact databases, execute data cleanup projects, and maintain accurate pipeline records.
  • Business Development Research: Explaining your approach to commercial research and market monitoring to prepare attorneys for formal pitch opportunities.
  • Process Discipline & Quality Control: Demonstrating your attention to detail regarding review workflows, conflict checks, and multi-step approval frameworks.

Role Specifications 

This is a remote role, where you will be expected to work a split shift with some overlap with our client’s time zone. You will, however, be expected to be present for in-person training programs during your first 3.5 weeks with us.
