About the Role

We are looking for an experienced HubSpot Administrator to support an Australian client with the day-to-day administration, configuration, optimisation and maintenance of their HubSpot CRM platform.

The successful candidate will work closely with the Australian client’s sales, marketing and management teams to ensure HubSpot is effectively configured, maintained and utilised to support lead management, sales processes, marketing activities, reporting and customer engagement.

This is a work-from-home position based in the Philippines, requiring strong communication skills and the ability to work independently while collaborating with an Australian team.

Key Responsibilities

HubSpot Administration

  • Administer and maintain the client's HubSpot CRM platform.
  • Create and manage users, teams, permissions and access levels.
  • Configure properties, objects, pipelines, lifecycle stages and lead statuses.
  • Maintain data quality, consistency and CRM governance.
  • Create and modify workflows, automation and business rules.
  • Configure forms, landing pages, email templates and other HubSpot assets.
  • Manage CRM integrations with other business applications.
  • Troubleshoot HubSpot configuration and user issues.
  • Maintain documentation of CRM processes, configurations and workflows.

Sales & CRM Support

  • Configure and maintain sales pipelines and deal stages.
  • Manage lead assignment and routing processes.
  • Support sales representatives with CRM-related issues.
  • Create automated lead nurturing and follow-up processes.
  • Configure task creation, notifications and reminders.
  • Assist with sales forecasting and pipeline reporting.
  • Identify opportunities to improve sales processes through HubSpot automation.

Marketing Automation

  • Support email marketing campaigns and workflows.
  • Create and maintain marketing lists and audience segments.
  • Configure lead nurturing journeys.
  • Support marketing automation and campaign tracking.
  • Monitor campaign performance and identify data or process issues.
  • Assist with lead scoring and lifecycle management.

Reporting & Analytics

  • Create and maintain HubSpot dashboards and reports.
  • Develop reports covering:
    • Leads
    • Sales pipeline
    • Conversion rates
    • Sales activities
    • Marketing performance
    • Customer acquisition
    • Revenue
  • Provide regular reports and insights to the Australian management team.
  • Ensure CRM data is accurate and reporting is reliable.

Data Management

  • Perform regular CRM data cleansing and validation.
  • Identify and resolve duplicate records.
  • Import and export data while maintaining data integrity.
  • Maintain contact, company and deal information.
  • Establish and enforce CRM data standards.
  • Support CRM migration and data-upload activities when required.

Client Support

  • Act as the first point of contact for HubSpot-related support requests.
  • Understand business requirements from Australian stakeholders and translate them into HubSpot solutions.
  • Provide guidance and training to users.
  • Prepare user guides and process documentation.
  • Proactively identify opportunities to improve the client's use of HubSpot.

  • 2–4+ years of hands-on HubSpot administration experience.
