Job Summary/Objective
|
The HR Generalist manages the day-to-day transactional and administrative work of the HR function, ensuring accurate, compliant, and timely execution of onboarding, offboarding, employee records, and HRIS data. This role serves as the operational backbone of HR, providing managers and employees with clear guidance on HR processes and forms while maintaining clean, audit-ready documentation. It partners closely with Payroll to ensure accurate, timely data hand-off and takes ownership of data integrity across HR systems, focusing on operational excellence and process consistency across the employee lifecycle.

Key Duties & Responsibilities
|
- Lead new hire onboarding and employee offboarding, including preparing documentation, coordinating start/exit logistics, and ensuring a smooth experience for employees and managers.
- Complete and maintain Form I-9 verification and manage background check initiation and tracking in compliance with applicable requirements.
- Maintain accurate, organized, and audit-ready employee files and HR records, ensuring documentation meets compliance standards.
- Process employee status changes, job changes, and terminations in the HRIS, ensuring accuracy and timeliness of all updates.
- Maintain data integrity within the HRIS, performing regular audits and corrections to ensure accuracy across employee records.
- Provide Payroll with clean, accurate, and timely employee data related to new hires, terminations, and status/job changes, without owning payroll processing.
- Serve as the first point of contact for basic employee questions regarding HR processes, policies, and forms, escalating complex or sensitive issues as appropriate.
- Support managers by providing relevant forms, explaining process steps, and guiding them through HR workflows such as hiring, status changes, and terminations.
- Maintain and update HR checklists, workflows, and process documentation to ensure consistency and efficiency.
- Oversee day-to-day leave of absence (LOA) administration, including tracking key dates, required documentation, and coordinating necessary notifications.
- Support internal and external audits by compiling, organizing, and providing requested compliance documentation.
- Maintain compliance documentation across HR processes, helping ensure the organization meets recordkeeping and regulatory requirements.
- Adhere to Planet Nine’s operational policies, safety procedures, and regulatory standards by completing required training and maintaining compliance across all assigned duties.
- Adapt to evolving priorities by performing additional tasks or projects as needed to support team and organizational goals.

Skills and Qualifications
|
- Strong knowledge of HR administrative processes, recordkeeping, and compliance documentation.
- Proficiency with HRIS systems; experience with Dayforce a plus
- Familiarity with multi-country HR processes a plus
- Excellent organizational skills and high attention to detail.
- Ability to handle confidential and sensitive information with discretion.
- Strong written and verbal communication skills, with the ability to clearly explain processes to managers and employees.
- Comfortable managing multiple workflows, checklists, and deadlines simultaneously.
- Collaborative mindset, with a strong ability to partner cross-functionally, particularly with Payroll, to ensure seamless data accuracy and process hand-offs.

Education and Experience Requirements
|
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Minimum of 3 years of experience in an HR administrative, coordinator, or generalist support role.
- Experience with I-9 verification, background check coordination, and HRIS data management preferred.

|
- Prolonged periods of sitting at a desk and working on a computer. Must be able to communicate effectively in verbal and written form.
