Annual Salary: IBP Salaries are set with consideration of current market conditions and in comparison, with similar organizations. Based on current rates, we would anticipate a gross salary to be offered as per the below locations. *Please note these locations are given to illustrate specific country salary ranges – the salary offered will be payable in local currency, based on local markets and commensurate with experience.

• CFA 23,249,937 - 24.345,484 per annum in Senegal
• ZAR 649,307 – 679,903 per annum in South Africa
• KES 3,602,787 – 3,772,552 per annum in Kenya
• GHS 373,120 - 396,440 - per annum in Ghana
Contract type and length: Initial 1 year fixed-term contract, with view to renew subject to funding.
Location: Flexible/remote. IBP’s team currently works across a range of time zones, with many colleagues based between UTC-5 and UTC+3. For this role, we are looking for candidates based in countries where IBP maintains a significant presence, including Nigeria, Senegal and South Africa. Candidates based in Kenya and Ghana would also be considered.
Preferred start date: Early November 2026
Physical demands: Prolonged sitting at a desk and working on a laptop/computer screen; there may be an occasional need to travel based on business requirements

Today, IBP is a globally dispersed organization with staff based in multiple countries with in-depth country work in Nigeria, Senegal, South Africa and Indonesia. IBP is a US registered 501 c3 with branch offices in Senegal and affiliates in the Netherlands, in South Africa and in Nigeria and a total budget of about USD 14 million a year.
About this role
IBP is seeking a Fundraising and Grants Coordinator to strengthen IBP’s fundraising, partnership development and proposal management capacity. This is a global role.
The Coordinator will play a central role in supporting the development of high-quality funding proposals, concept notes, donor reports, and partnership opportunities. Working closely with the Director of Development, the Coordinator will support Executive Leadership Team members, Country Directors, Program Leads, Learning, Monitoring and Evaluation (LME), Finance, Operations and Communications colleagues, the Coordinator will help ensure that proposal development processes are strategic, collaborative, and delivered on time.
A key focus of this role will be coordinating proposal design and development processes across the organization. The Coordinator will bring together colleagues from different teams to establish clear timelines, define ownership of inputs, manage workflows, and ensure expectations are aligned throughout the proposal development process. The role will help strengthen internal systems and ways of working that enable IBP to respond effectively to funding opportunities while maintaining high standards of quality and collaboration.
In addition to proposal coordination, the Coordinator will support prospect research, donor cultivation, donor communications and reports, stewardship activities, and the continued strengthening of fundraising systems and processes. The role combines project coordination, relationship management support, and strong writing skills to help communicate the significance and impact of IBP's work to existing and prospective funders.
Role responsibilities
Essential duties of the job include, but are not limited to, the following:
1. Proposal Development, Coordination and Opportunity Management (35%)
• Coordinate the development of funding proposals, concept notes, and partnership submissions, clearly defining the process, timelines, and owners for each stage.
• Draft, contribute to writing and coordinate compelling proposals, concept notes, reports, and donor communications that communicate IBP's mission, impact, and funding needs.
• Support the development of proposal frameworks, templates, guidance materials, and quality assurance processes.
• Maintain visibility of active and upcoming funding opportunities and support internal prioritization processes.
2. Prospect Research, Pipeline Development and Donor Cultivation (25%)
• Conduct prospect research and relationship mapping to support the growth and management of donor pipelines, including institutional, foundation, and individual funding opportunities.
• Produce detailed prospect research documents, donor profiles, and opportunity briefs.
• Monitor emerging funding opportunities and donor priorities.
• Support donor cultivation efforts by preparing background research, meeting preparation materials, and tailored briefing documents for the Executive Director, Director of Development, and Program Directors.
3. Grant Management and Donor Reporting Coordination(25%)
• Support maintenance of a live grants tracker across IBP's active grants, capturing award terms, key dates and deadlines, reporting obligations, restrictions, and donor contacts, from the point of signing.
• Coordinate the internal donor reporting process for a select number of grants, working with Program Leads and other contributors to gather narrative and financial inputs, routing them for review and sign-off, and tracking submission status to ensure reports accurately reflect IBP's impact against grant deliverables and donor requirements
• Collaborate with the Communications team to ensure consistency in messaging and storytelling across donor-facing materials.
• Support the Executive Director and Director of Development with work related to the Advisory Council, IBP’s primary volunteer donor engagement body, including scheduling biannual meetings, preparing agendas and meeting materials, coordinating outreach to prospects, and responding to member inquiries.
4. CRM Management, Systems Improvement and Knowledge Management (10%)
• Ensure fundraising and donor information is accurately maintained within IBP's CRM and related systems.
• Support ongoing improvements to fundraising systems, processes, and knowledge management practices.
• Contribute to the continued development and optimization of Salesforce and related tools.
5. Other Responsibilities (5%)
• Participate in team meetings and organizational planning processes.
• Coordinate closely with Finance, Operations, Communications, and Program teams as required.
• Comply with all IBP administrative and financial protocols, policies, and procedures.

Education and Experience
• Bachelor's degree required. Masters preferred.
• At least 4–6 years of relevant experience in fundraising, proposal development, business development, grants management, partnerships, or a related field.
• Experience having worked in fundraising in the international development, governance, democracy, rights and public finance sectors, with a focus on statutory and foundation donors.
• Demonstrated experience coordinating complex projects involving multiple stakeholders.
• Experience supporting institutional fundraising, donor engagement, or proposal development processes.
• Strong writing and editing experience, including drafting proposals, reports, or donor communications.
• Experience working with globally distributed teams is highly desirable.
