The Enrollment Specialist is the operational engine that moves a family from "yes" to fully enrolled and billing-ready in our Kindertales (KT) system. This role exists so that School Directors can stay focused on touring families, building relationships, and running their Schools — rather than navigating the back-end work of CRM moves, account creation, billing setup, and parent activations. This is a high-impact, behind-the-scenes role for someone who thrives on getting details right, communicates clearly across teams, and takes ownership of process from start to finish.

The Enrollment Specialist owns the end-to-end administrative workflow inside Kindertales for both Private Pay and Subsidy enrollments. They partner closely with School Directors as the family-facing relationship continues, while taking full ownership of the system work that gets the child's account set up correctly the first time. 

This role is designated as a remote position; however, applicants must reside and be authorized to work in one of the following states: Illinois (IL), Massachusetts (MA), Missouri (MO), Ohio (OH), Pennsylvania (PA), New Jersey (NJ), and New York (NY).

What You’ll Do:

On a typical day, the Enrollment Specialist might start by reviewing tour outcomes shared by Directors from the prior afternoon and moving those leads into the correct CRM buckets. Mid-morning, they might create three new child accounts in Kindertales for families who confirmed enrollment, set up the programs, schedules, and tuition tiers, and then activate the parent accounts so families receive their setup links. 

Throughout the day, they'll partner with Directors who need a discount applied, a schedule changed, or a child paused. They'll coordinate with AR on subsidy billing setup, confirm with HR before applying staff discounts, and check in with District Managers on any subsidy approvals that are pending. By end of day, they've cleared their queue, communicated next steps to the Directors they partnered with, and flagged any exceptions for tomorrow. 

Right now, much of the back end Kindertales work falls on School Directors, which pulls them away from families and School operations. By owning this workflow end-to-end, the Enrollment Specialist gives Directors back their time, reduces errors at the most critical moment in the family relationship (initial setup and first billing), and creates a smoother experience for families from the moment they say yes. 

Qualifications

Required

• 2+ years of experience in operations, enrollment, billing, customer service coordination, or a similarly process-driven role. 
• Strong proficiency with CRM and management software systems; able to learn Kindertales (or similar FMS/CRM platforms) quickly and become a power user. 
• Exceptional attention to detail — comfortable working with billing, schedules, and authorization data where accuracy is non-negotiable. 
• Strong written and verbal communication skills, especially across teams and with families. 
• Proven ability to manage multiple workstreams, prioritize across competing requests, and keep clean hand-offs between teams. 
• Comfort with ambiguity and process change — this role partners on building and refining the workflow as the system evolves. 

Preferred

• Prior experience in childcare, early childhood education, or a multi-site service business. 
• Familiarity with Kindertales, Procare, brightwheel, or similar childcare management platforms. 
• Experience with subsidy or government-funded billing programs (state-specific authorization, copay structures, voucher reconciliation). 
• Background partnering with field operations (School directors, district managers) from a back-office or shared-services function.
