The Role

CollegeAPP is looking for a Business Operations Manager to work closely with the Chief Operating Officer and help increase operational capacity across the organization.

This is a high-trust, cross-functional role that operates as a close partner to the COO, combining business operations, executive-level coordination, project management, and hands-on problem solving across the company. The Business Operations Manager will help organize priorities, filter and clarify incoming requests, manage follow-up, support routine operational processes, and keep work moving across departments.  

Full Transparency

This is not a traditional Operations Manager role focused solely on process execution. It sits somewhere between senior executive support and hands-on operational coordination, with responsibilities that will shift based on what the COO and company need at any given time.

The work will not always arrive with complete instructions. The person in this role must be comfortable gathering context, recognizing patterns, making reasonable recommendations, and identifying what can be handled independently versus what requires the COO's involvement.

Key Responsibilities

Under the direction of the Chief Operating Officer, it is expected that the Business Operations Manager will:

  • Serve as a primary point of coordination for operational requests directed to the COO.

  • Organize incoming requests, clarify what is needed, gather relevant information, and track deadlines and dependencies so nothing falls through the cracks.

  • Coordinate contract routing, signatures, document storage, and status follow-up

  • Support routine customer and technical onboarding processes using existing tools, scripts, and automations.

  • Assist with basic reporting, information gathering, meeting preparation, and follow-up.

  • Answer routine operational questions using information available in Salesforce and other company systems.

  • Develop a strong understanding of what is happening across departments and connect team members with the appropriate information, process, or owner.

  • Review documents, reports, and requests for accuracy, completeness, and inconsistencies.

  • Support testing and quality control for internal systems, automations, emails, forms, and workflows.

  • Maintain continuity when the COO is unavailable by handling routine matters, communicating status, and escalating appropriately.

  • Identify recurring interruptions, inefficiencies, or information gaps and recommend practical improvements.

  • Document recurring processes and maintain clear internal reference materials

  • Flex across these responsibilities as the needs of the company and the COO shift and evolve over time.

Qualifications

  • Five years of relevant experience in business operations, executive operations, operational coordination, senior administrative support, or a related role.

  • Three years of experience working directly with a senior executive, founder, or functional leader.

  • Demonstrated ability to prioritize requests, coordinate competing demands, and manage follow-through.

  • Strong attention to detail and a track record of producing accurate, polished work.

  • Excellent written and verbal communication skills.

  • Ability to work independently and collaborate effectively across departments.

  • Basic data analysis skills, including the ability to organize information, interpret reports, identify trends, and flag errors or inconsistencies.

  • Experience handling confidential business, employee, customer, or contract information.

  • Strong proficiency with Google Workspace, Microsoft Office, or similar productivity tools.

Preferred Skills and Experience

  • Bachelor's degree in Business Administration, Operations Management, or a related field.

  • Previous experience in a startup, small company, or rapidly changing environment.

  • Previous experience supporting a COO, founder, or executive with broad cross-functional responsibilities.

  • Experience with Salesforce or a similar CRM.

  • Previous experience working in a fully remote organization. 

Other Considerations

  • 100% remote position from anywhere in the United States.

  • Minimal  travel (up to 5%) may be needed for team meetings, training, or nearby industry events.

The base salary range for this position has been established at $70,000.00 - $90,000.00. Base pay offered may vary depending on multiple individualized factors, including job-related knowledge, skills, and experience
