Role Summary
This role owns the full bookkeeping cycle for the business in Xero, from bank and account reconciliations, payroll and BAS preparation through to invoicing, collections and cash flow reporting, giving the owners an accurate and current picture of the business at all times. Alongside the books, you will run the administration that keeps a busy trades operation moving, including the shared inbox, job scheduling and team rostering in AroFlo, quote preparation and follow-up, and light social media support. You will work directly with the business owners as their all-round administrative and financial support, and as the company grows there is scope for the role to expand with it.

Key Responsibilities

  • Perform regular bank and account reconciliations in Xero, keeping the books accurate and up to date

  • Prepare the BAS ahead of each lodgement deadline, ensuring GST and reporting obligations are met on time

  • Process payroll accurately and on schedule, including superannuation and leave records

  • Raise and send customer invoices from completed jobs in AroFlo, and follow up outstanding payments professionally and persistently

  • Prepare regular financial reports, including cash flow forecasts, profit and loss and aged receivables

  • Manage the business inbox, responding to customer enquiries and triaging messages so nothing slips through

  • Schedule jobs and manage the team roster in AroFlo, coordinating bookings, technicians and site details

  • Prepare and send quotes, follow up on outstanding quotes and help convert enquiries into booked work

  • Support the business social media, posting project photos and updates and responding to messages and reviews

  • Handle general administration, including supplier coordination, record keeping, insurance and compliance documents, and process improvements as the business grows

What We Are Looking For

  • Proven bookkeeping experience supporting an Australian business, with solid working knowledge of BAS, GST, payroll and superannuation requirements

  • Hands-on experience with Xero, with experience in AroFlo or a similar job management system highly regarded

  • Confident preparing financial reports and cash flow forecasts, and able to explain the numbers in plain English

  • Strong attention to detail and accuracy, with the discipline to keep reconciliations, records and job data current every week

  • Well organized, able to juggle recurring deadlines such as BAS, payroll and month-end alongside day-to-day admin

  • A genuine all-rounder, comfortable switching between the books, the inbox and the schedule across the day

  • Excellent written and spoken English

  • Demonstrated employment stability, with a preference for candidates who have stayed with previous employers for around two years or more

  • A genuine interest in building a long-term career with the business and growing alongside the team

Requirements
