With decades of combined legal experience and over $150 million recovered for clients, the firm specializes in advocating for individuals who have suffered serious injuries, motor vehicle accidents, and wrongful deaths.

Under forward-thinking executive leadership, the firm is actively modernizing its entire operational ecosystem to future-focused standards—eliminating traditional paper-based processes in favor of a high-efficiency tech stack powered by cloud legal CRMs and enterprise-grade generative AI platforms.

About the Role:

The Bilingual Legal Intake Specialist manages initial inquiries from prospective clients. In this role, you will receive prospective client leads routed through the firm's intake system, conduct structured interviews, screen for case eligibility, and execute representation agreements.

This position requires a balance of empathy, attention to detail, clear communication, and comfortable navigation of legal CRM software to guide qualified callers smoothly through the retainer process.


Key Responsibilities

1. Call Handling, Screening & Case Conversion

Inbound Call Handling: Live-receive prospective client calls, conduct structured intake interviews, screen for case eligibility, and secure signed representation agreements.

Empathetic Engagement: Build trust and rapport with callers navigating stressful situations (motor vehicle accidents, slip-and-falls, wrongful death).

Retainer Execution: Guide qualified prospective clients through digital retainer agreements via e-signature to complete onboarding.

2. Lead Nurturing & Pipeline Management

Follow-Up Management: Consistently follow up with unsigned prospects who expressed interest but did not complete retainer execution during the initial contact.

Inquiry Response: Promptly contact and qualify web form inquiries, missed calls, and after-hours submissions.

Pipeline Hygiene: Accurately update, tag, and archive lead statuses in Lead Docket to maintain accurate intake records.

3. Preliminary Case Setup & Administrative Tasks

Report Requests: Initiate requests for traffic crash reports through official portals to confirm accident details and involved parties.

Insurance Details: Gather initial insurance carrier details, policy numbers, and claim information during intake.

Conflict Checks: Perform initial conflict-of-interest checks within Filevine prior to finalizing onboarding.

Case Transition: Package completed intake files and transfer them to Pre-Litigation Case Managers for case setup.

4. Declinations & Referral Management

Declination Letters: Send firm-approved form letters for case declinations as directed by firm attorneys.

Referral Routing: Route non-qualifying legal inquiries (e.g., family law, workers' compensation) to external legal partners according to firm protocols.

5. Technology & Workflow Execution

CRM Utilization: Maintain precise data entry and workflow tracking across Filevine and Lead Docket.

AI Tool Integration: Use Claude AI (Enterprise Edition) to access internal resources, prompts, and intake protocols under firm privacy standards.


Qualifications & Skills

Language:

Native or C1/C2 bilingual fluency in English and Spanish (written and spoken).

Experience:

2+ years minimum (3+ years preferred) in personal injury legal intake, sales, or lead conversion.

Must have personally handled inbound intake for a US law firm and been directly accountable for conversion metrics.

Software & Tools:

Direct experience with Filevine and Lead Docket (or strong familiarity with equivalent CRMs such as Clio Grow/Manage or Smart Advocate).

Comfort using generative AI tools (such as Claude AI) within daily workflows.

(Optional / Bonus) Experience with legal AI platforms like CoCounsel is a plus, but not required.

Proven Conversion Ability: Confident, professional approach to guiding callers through the intake and retainer process.

Empathy & Active Listening: Able to remain calm, respectful, and clear-headed when speaking with distressed callers.

Organization: Thorough note-taking skills to ensure accurate lead records and clean database management.

Remote Setup: Quiet home office environment, high-speed internet, and a professional noise-canceling headset.
