ROLE OVERVIEW

About the Client:

The client operates a growing law firm focused on Social Security Disability and Supplemental Security Income cases. The firm supports clients throughout the full process, from initial applications to appeals, ensuring proper documentation and case follow up. The team handles a high volume of client interactions, including intake, scheduling, and ongoing case communication. As the firm continues to grow, the client is looking to expand the client relations team with reliable and detail oriented professionals who can support both intake and ongoing client communication while maintaining a high standard of service.

About the Role:

The ideal candidate will bridge client relations and medical record management. You will be responsible for requesting, tracking, and organizing complex medical records, maintaining regular contact with active Social Security claimants, and assisting with client intake. The position demands exceptional organizational skills to manage high-volume medical evidence, track Social Security Administration (SSA) deadlines, and deliver compassionate, professional support to clients navigating disability claims.

Key Responsibilities

Medical Records & Case Coordination

  • Request, track, and retrieve medical records, treatment histories, and physician statements from hospitals and healthcare providers.
  • Organize, review, and index medical evidence to ensure case files are complete for SSA submission.
  • Follow up regularly with medical facility records departments to resolve outstanding requests and expedite delays.
  • Track application status, verify receipt of submissions with Social Security offices, and ensure strict adherence to hearing and appeal deadlines.

Client Communication & Intake

  • Handle incoming calls from prospective and current disability clients.
  • Screen and qualify new leads using internal disability questionnaires.
  • Schedule intake consultations and assist clients with completing required SSA documentation and forms.
  • Provide clear, empathetic updates and general support to active clients throughout their case.

Data & File Management

  • Maintain accurate, real-time logs of medical requests, record receipts, and client interactions in the case management software.
  • Ensure all client files, medical documents, and SSA correspondence are properly named and uploaded to appropriate files.

Qualifications & Skills

Must

  • At least 2 years of dedicated medical records experience (requesting, tracking, and indexing medical records).
  • Minimum of 1 year of experience in a law firm or legal setting.
  • Excellent written and verbal English communication skills.
  • Exceptional organizational skills and high attention to detail.
  • Ability to work full-time Monday to Friday, 8:00 AM โ€“ 5:00 PM Eastern Time.
  • Strong integrity, work ethic, and ability to prioritize tasks in a fast-paced environment.

Preferred

  • 2 years of Social Security Disability (SSD/SSI) experience strongly preferred (1 year minimum considered).
  • Bilingual (English/Spanish) fluency is a strong plus.
  • Familiarity with legal CRM or case management systems (e.g., Filevine, Prevail, Clio).
  • Associateโ€™s degree or higher.
