The Administrative Assistant Senior Representative provides high-level support to two senior leaders by managing complex calendars, travel arrangements, and meeting logistics. They are also responsible for processing expense reports, maintaining organizational records, and identifying opportunities to improve operational workflows.
Position Summary
The Administrative Assistant Senior Representative provides administrative support to 2 senior leaders. This position is best suited for an experienced administrative professional who excels at managing complex priorities, navigating ambiguity, and operating with a high degree of independence. The successful candidate demonstrates exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs in a fast-paced, dynamic environment.
Key Responsibilities
Executive & Leadership Support
Manage complex, frequently changing calendars across multiple leaders — prioritizing requests, optimizing scheduling, and resolving conflicts using sound judgment; communicate last-minute changes promptly via email, phone, or text.
Coordinate leadership meetings, strategy sessions, offsites, all team meeting, and other business-critical events, including logistics for outside guests.
Arrange domestic and international travel using Cigna's online booking tool; prepare itineraries and process expense reports.
Review, approve, or reject policy-adherent expense reports submitted by team members, ensuring accurate and timely submission.
Handle sensitive and confidential information with professionalism and discretion.
Maintain organizational distribution lists.
Secure help desk support to resolve computer, phone, and printer issues; order equipment and supplies; and manage department space planning with the corporate Real Estate team.
Identify opportunities to improve administrative workflows, and overall operational effectiveness.
Qualifications
Required
High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
7+ years of progressively responsible administrative experience, including support of senior leaders.
Demonstrated success supporting multiple executives or leaders simultaneously.
Expert proficiency in Microsoft Outlook (and calendar functions), Teams, Word, PowerPoint, and Excel.
Exceptional organizational skills, accuracy, and attention to detail.
Proven ability to handle highly confidential information with integrity and discretion.
High energy, flexibility, and a solutions-oriented mindset; proactively anticipates team needs.
Experience supporting a virtual workforce, with technical proficiency across audio/voice equipment and mobile/desktop devices.
Preferred
Experience supporting Director, Senior Director, VP, or equivalent leadership teams.
Experience working in a large, matrixed organization or Fortune 500 company.
Experience coordinating leadership meetings, offsites, and enterprise-wide events.
Healthcare, pharmacy, or health services industry experience.
This role is also anticipated to be eligible to participate in an annual bonus plan.
