Our client is looking for a Full-Time Administrative Assistant to provide day-to-day operational and administrative support to a growing construction services company. They specialize in drywall, painting, repair, and property improvement services and have built a strong reputation for reliable service, professional workmanship, and positive customer experiences.
This role will be responsible for keeping daily operations organized behind the scenes, with a particular focus on scheduling service appointments, preparing invoices, coordinating with service teams, and planning crew schedules for upcoming jobs. The ideal candidate is proactive, dependable, organized, and comfortable working in a team-oriented environment where priorities may shift throughout the day.
This is primarily an internal operations role with no regular client-facing responsibilities. Since the team communicates in Spanish, advanced English proficiency is not a major requirement for the position.
Responsibilities
- Coordinate and schedule service appointments using Jobber.
- Prepare and process client invoices accurately and on time.
- Organize and maintain the daily service calendar.
- Plan and update next-day crew schedules based on upcoming jobs and operational priorities.
- Follow up with service teams regarding schedules, assignments, and pending tasks.
- Communicate internally with team members through WhatsApp and other designated channels.
- Keep job, scheduling, and administrative information organized and up to date.
- Support the team with routine administrative and operational tasks as assigned.
- Adapt to changing priorities and help ensure daily field operations remain organized.
- Proactively identify pending items and follow up rather than waiting for reminders or instructions.
Requirements
- Previous experience in an administrative assistant, operations support, scheduling, dispatching, or similar role.
- Strong organizational and time-management skills.
- Ability to coordinate multiple schedules, appointments, and administrative priorities simultaneously.
- Comfortable preparing invoices and handling basic administrative documentation.
- Proactive mindset with the ability to follow up independently on outstanding tasks.
- Strong attention to detail, particularly when managing schedules and invoices.
- Comfortable communicating and coordinating with field-based teams.
- Ability to work effectively in a fast-moving service or operations environment.
- Working knowledge of Microsoft Office/Microsoft 365.
- Comfortable using WhatsApp for daily team communication.
- Spanish fluency.
- Basic to intermediate English is sufficient to navigate systems and handle written administrative information.
Qualifications
- Experience with Jobber is strongly preferred.
- Previous experience supporting a construction, home services, property services, maintenance, field service, or similar company is a plus.
- Experience with crew scheduling, dispatching, work orders, or field-service coordination is highly valuable.
- Familiarity with invoicing and administrative workflows.
- Friendly, collaborative, and team-oriented personality.
- Self-starter who takes initiative and follows through on responsibilities.
- Comfortable learning new processes and adapting to the operational needs of the business.
