About the Role:
We are seeking a highly organized and hospitality-driven VIP Travel Specialist to manage hotel and travel logistics on behalf of one of our US partners, a specialized travel management company supporting major music tours, feature films, television productions, and large-scale commercial shoots worldwide.

This role is essential in ensuring production crews, talent, and creative teams have the right accommodations and travel arrangements as they move between cities on demanding schedules. Instead of managing a single property, the VIP Travel Specialist will work with multiple hotels across different cities, coordinating group accommodations and logistics for teams that can range from dozens to hundreds of people.

The ideal candidate comes from a hotel supervisory or managerial operations background and understands how hotels work from the inside, including inventory pressure, group blocks, guest expectations, and front office realities. While the role shares some similarities with corporate travel, the work is heavily focused on hotel strategy, group logistics, and production coordination rather than leisure booking. Experience with entertainment, production, or VIP clients is a plus but not mandatory.

Key Responsibilities:

1. Hotel Sourcing & Coordination

• Source and secure hotel inventory for production teams
• Assist with structuring and managing group room blocks
• Monitor cut-off dates, rooming lists, and reservation changes
• Align hotel placements with production schedules and shoot locations
• Navigate high-demand markets and limited availability

2. Hotel Communication & Negotiation

• Work directly with hotel sales teams and front office leadership
• Negotiate competitive rates and concessions
• Secure upgrades and special accommodations when possible
• Build and maintain strong working relationships with hotel partners

3. Production Travel Logistics

• Coordinate ground transportation for crews and talent
• Manage last-minute travel adjustments and schedule changes
• Solve logistical issues quickly and professionally
• Maintain accurate documentation and billing records

4. Other Duties as Assigned

• Responsibilities may evolve based on business needs, with opportunities to grow into more advanced roles over time

Requirements

Required Skills & Qualifications:

• Supervisory or managerial experience in hotel operations, such as Front Office, Guest Services, Reservations, or Hotel Management
• Hands-on experience managing group reservations or room blocks
• Proven experience handling guest escalations and service recovery
• Background working in high-demand, fast-paced operational environments
• Experience coordinating with hotel leadership and sales teams
• Strong negotiation and communication skills
• Ability to stay calm under pressure and solve problems quickly
• High attention to detail with the ability to manage multiple moving parts simultaneously
• Bachelor's Degree
