As our Client Success & Operations Coordinator, you’ll sit at the intersection of client success and operations, helping keep multiple client engagements moving from onboarding through ongoing delivery.
You’ll make sure clients know what happens next, documents don’t disappear into the abyss, deadlines stay visible, meetings happen when they should, and stalled tasks get the attention they need.
You won’t be expected to solve complex tax or technical questions. Knowing when to escalate and who to involve is part of doing this role brilliantly.

Key Responsibilities
Keep clients informed of next steps, meetings, deadlines, and outstanding requirements.
Follow up on missing documents, approvals, and action items.
Support new-client onboarding and internal hand offs.
Monitor client workflows, deadlines, dependencies, and outstanding tasks.
Maintain accurate CRM records, notes, and client information.
Coordinate meetings, reminders, and follow-up activities.
Identify stalled tasks, workflow bottlenecks, and potential delays.
Escalate technical or complex client matters to the appropriate team members.
Prepare correspondence, trackers, and client-facing documents.
Support operational and client reporting.
Maintain process and workflow documentation.
Coordinate across client-facing, operational, and technical teams.
Requirements
Required Qualifications:
2+ years of relevant professional experience in Client or Customer Success, Account Coordination, Operations, Client Services, Administration, Project Coordination, or a similar role.
Strong written and verbal communication skills.
Strong organizational and time-management skills.
Ability to manage multiple clients, deadlines, and priorities.
Strong attention to detail and follow-through.
Ability to work independently and take ownership of assigned responsibilities.
Comfortable communicating with clients via email, phone, and video calls.
Ability to maintain accurate records and handle confidential client information appropriately.
Preferred Qualifications:
Experience supporting a U.S.-based professional-services business.
Experience in tax, accounting, financial services, wealth management, legal, consulting, or advisory services.
Experience with CRM or workflow platforms such as Zoho, Salesforce, HubSpot, ClickUp, Monday.com, or Asana. Equivalent platforms are also relevant.
Familiarity with Microsoft 365, Google Workspace, document management, e-signature, and scheduling systems.
