About the Role
We are a staffing agency recruiting on behalf of a growing, family-owned pediatric practice in Orlando, Florida. As the practice continues to expand, they are seeking a compassionate and highly organized Trilingual Patient Coordinator to become the first point of contact for patients and families.
This role is ideal for someone who enjoys providing exceptional patient service while ensuring the day-to-day administrative operations of a busy medical practice run smoothly. You will be responsible for managing patient communications, scheduling appointments, coordinating follow-up care, and delivering a welcoming experience for every family.
The ideal candidate is proactive, detail-oriented, adaptable, and fluent in English, Spanish, and Portuguese, enabling them to confidently communicate with the practice's diverse patient community.
Key Responsibilities
Patient Communication
- Answer inbound patient calls professionally and efficiently
- Respond to patient enquiries and provide outstanding customer service
- Communicate confidently with patients and families in English, Spanish, and Portuguese
- Direct patient enquiries to the appropriate clinical team when necessary
Appointment Coordination
- Schedule, reschedule, and confirm patient appointments
- Manage provider calendars to maximize scheduling efficiency
- Conduct outbound calls for appointment reminders and patient follow-up
- Ensure patient information is accurate and updated within the practice management system
Administrative Support
- Maintain accurate patient records within the EMR
- Assist with patient registration and demographic updates
- Coordinate communication between providers, patients, and internal staff
- Support the smooth day-to-day administrative operations of the practice
Patient Experience
- Deliver a friendly, compassionate, and professional experience to every patient interaction
- Handle sensitive patient information with discretion and confidentiality
- Help identify opportunities to improve patient communication and operational efficiency
- Work collaboratively with the clinical team to ensure excellent continuity of care
Required Qualifications
- Fluent in English, Spanish, and Portuguese (written and spoken)
- Previous experience working in a U.S. healthcare or medical practice
- Strong telephone communication and customer service skills
- Excellent organizational skills with exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Comfortable working independently while following established processes
- Professional, compassionate, and patient-focused approach
Preferred Qualifications
- Experience using eClinicalWorks
- Previous experience as a Patient Coordinator, Medical Receptionist, Medical Administrative Assistant, or Front Desk Coordinator
- Familiarity with RingCentral or other VoIP phone systems
- Knowledge of HIPAA regulations and patient confidentiality
- Experience working in pediatric or family medicine practices
