Position Summary and Responsibilities 

Working from the school office in Duluth, Georgia, or from your home office in Georgia, the Student Services Operations Coordinator provides operational leadership and administrative oversight for key functions within the Counseling and Student Services Department. This position manages complex student service processes, coordinates department-wide operational initiatives, and ensures the accurate and timely execution of state reporting, student records management, Dual Enrollment administration, and cross-functional projects. 

Working collaboratively with school counselors, administrators, enrollment staff, and external partners, the Student Services Operations Manager develops efficient systems and monitors compliance with federal, state, and district policies to support continuous process improvement. By enhancing operational effectiveness, this role serves as a key strategic resource, coordinating initiatives that directly impact the success of students, families, and district leadership. 

This is a full-time, 12-month, salaried position 

All GACA teachers and staff must be able to regularly participate in required in-person activities that may require overnight travel throughout the state of Georgia, including but not limited to: 

  • School and department meetings 
  • Student engagement events 
  • Professional development and required training 
  • State testing, End-of-Pathway testing, and all in-person summative and formative assessments 
  • Graduation and other school-level events

Essential Responsibilities 

Dual Enrollment Program Operations 

  • Coordinate and oversee all operational aspects of the school's Dual Enrollment program, including funding application workflows, student eligibility verification, documentation review, and continuous communication with students, families, counselors, and postsecondary institutions. 
  • Review, monitor, and triage Dual Enrollment funding applications to ensure completeness, compliance with Georgia Student Finance Commission (GSFC) requirements, and timely submission. 
  • Audit Dual Enrollment records, course coding, funding documentation, and transcript entries to ensure accuracy, compliance, and alignment with state reporting requirements. 
  • Serve as the primary operational liaison with colleges, universities, technical colleges, and external agencies regarding Dual Enrollment processes, partnerships, course completion verification, and communications. 

Student Records & Enrollment Operations 

  • Coordinate transcript processing and support high school enrollment activities, including course history reviews, credit documentation, and transcript accuracy.
  • Coordinate student records management processes, special records requests, and documentation while ensuring compliance with federal, state, and school policies.
  • Oversee creation of timely and accurate Graduation Plans, with attention to pathways and special graduation requirements for students with disabilities. 
  • Support summer enrollment operations by coordinating student placement activities, monitoring Success Flags, and assisting with enrollment workflows to ensure timely student scheduling and counselor assignment. 

Data Management, Compliance & Reporting 

  • Manage department operational data, reports, dashboards, and spreadsheets to support compliance, strategic planning, operational monitoring, and informed decision-making.
  • Coordinate state reporting and departmental data collection activities by collaborating with internal departments to ensure accurate, complete, and timely submissions.
  • Support departmental audits and compliance initiatives by monitoring data accuracy and documentation standards. 

Communications & Department Resources 

  • Develop, maintain, and distribute department communications, including website content, ParentSquare communications, Dual Enrollment resources, procedural guides, and informational materials for students and families.
  • Ensure department resources remain current, accurate, and aligned with school procedures and operational practices.

Operational Leadership & Continuous Improvement 

  • Develop, implement, document, and continuously improve departmental procedures, operational workflows, and cross-functional initiatives. 
  • Provide operational leadership for district-wide counseling initiatives, special projects, audits, and compliance activities as assigned. 
  • Identify opportunities to improve efficiency, consistency, service quality, and operational effectiveness across Student Services. 

Collaboration & Team Support 

  • Collaborate effectively with school leadership and cross-functional teams to support department goals and organizational priorities. 
  • May supervise departmental administrative support staff, including assigning work, monitoring productivity, providing training, and supporting professional growth.
  • Perform other duties as assigned. 

Qualifications 

  • Bachelor's degree in Counseling, Education, or Educational Leadership from an accredited college or university. 
  • Minimum of five (5) years of hands-on experience working with transcripts, graduation plans, and pathways. 
  • Demonstrated experience coordinating multiple complex projects with competing priorities. 
  • Advanced proficiency with Microsoft Office (particularly Excel) and Google Workspace.
  • Ability to analyze data, identify trends, and develop process improvements.
  • Ability to maintain confidentiality while working with sensitive student information.
  • Experience with Georgia Dual Enrollment programs and Georgia Student Finance Commission (GSFC) funding applications. 
  • Expert knowledge of Georgia graduation requirements, student records, transcript procedures, and state reporting. 
  • Experience working in K–12 education, higher education, or a public school district.
  • Experience supervising administrative staff or coordinating departmental operations.
  • Experience with Infinite Campus and educational technology platforms.

Position Requirements 

  • Willingness to travel throughout Georgia for school meetings, state testing events, outreach activities, and other school business, including occasional overnight travel.
  • Ability to work occasional evening hours to support students, families, or school events.
  • Must be able to use a personal electronic device and email account for multi-factor authentication. 

Physical Requirements 

  • This position requires regular travel throughout the state of Georgia to conduct official school business. Candidates must possess a valid driver's license, maintain an acceptable driving record, and have access to reliable transportation. 
  • While performing the duties of this position, the employee is regularly required to sit for extended periods while working at a computer and communicating by telephone and video conferencing. The employee must also be able to stand, walk, bend, reach, and occasionally lift or move up to 25 pounds. Specific vision abilities include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
