ROLE OVERVIEW:

The primary purpose of the Senior Supply Chain Planner (Offshore) role is to execute and optimize operational supply chain activities to ensure product availability, continuity of supply, and achievement of service and inventory performance objectives.

This role is responsible for supporting the end-to-end operational planning cycle across purchasing, supplier coordination, inbound logistics, inventory replenishment, and supply execution, ensuring business demand is supported through accurate planning and disciplined execution.

The role is responsible for maintaining supply continuity through proactive management of supplier performance, order progression, shipment visibility, inventory flow, and timely resolution of supply risks and constraints.

Working closely with suppliers, freight partners, and internal stakeholders, the Senior Supply Chain Planner executes agreed plans, provides accurate supply visibility, and supports informed operational decision making.

The role also supports the development and execution of the Sales & Operations Planning (S&OP) process through demand and supply analysis, preparation of planning inputs, reporting, scenario evaluation, and identification of supply risks and opportunities to support business planning and performance outcomes.

In addition, the role contributes to continuous improvement through process standardisation, data integrity, reporting enhancements, and initiatives that improve supply chain responsiveness, efficiency, and scalability.

All functions are to be undertaken in accordance with workplace health and safety requirements and company policies and procedures.

The Head of Supply Chain must balance strategic planning with hands-on operational execution.

It is critical that our supply chain be controlled in a professional manner, particularly considering the need to have quality product available to pick and deliver quickly to customers whilst maintaining a safe and ordered work environment within a business culture of constant improvement.

It is critical that supply chain functions are dealt with in a timely, efficient and quality manner, particularly in light of the need to exceed the customers’ expectations whilst maintaining a safe and ordered work environment within a business culture of constant improvement.

To facilitate the delivery of quality services it is essential that the Supply Chain team demonstrates the highest level of teamwork within their operation and the wider company environment.  This will assist in delivering a successful procurement and sourcing operation. 

RESPONSIBILITIES:

The principal accountabilities of this role are to support the execution, optimization, and continuity of supply chain operations to ensure product availability, service performance, and operational efficiency:

1. Supply Planning & Purchase Order Execution

Support end-to-end supply planning execution to maintain product availability and inventory performance.

Ø  Execute supply plans and purchasing activities in accordance with approved demand forecasts and inventory parameters

Ø  Raise, maintain, and manage purchase orders across the full order lifecycle

Ø  Place and follow up purchase orders with local and international suppliers only once approved, in accordance with delegated authority limits

Ø  Monitor supplier order confirmations and ensure alignment to agreed delivery schedules

Ø  Manage order amendments, expedite requirements, and shipment prioritisation as business needs evolve

Ø  Ensure supply plans reflect current inventory, demand changes, and operational constraints

Ø  Support replenishment decisions to maintain targeted stock availability and service levels

Ø  Identify and escalate supply risks, shortages, and potential service impacts proactively

 

2. Supplier Coordination & Supply Continuity

Maintain strong supplier execution and communication processes to ensure reliable product flow.

Ø  Act as day-to-day operational contact for international and domestic suppliers

Ø  Track supplier production progress and monitor adherence to agreed lead times

Ø  Coordinate supplier follow-up to minimize delays and improve delivery reliability

Ø  Escalate supplier performance concerns and support corrective action plans

Ø  Assist with supplier performance reporting including OTIF, lead time adherence, and service outcomes

Ø  Support supplier onboarding activities and transition of new products or suppliers into operational execution

Ø  Maintain supplier documentation and operational records

3. Logistics Coordination & Shipment Management

Coordinate inbound logistics activities to support timely receipt and inventory availability.

Ø  Monitor shipment schedules from supplier dispatch through final receipt

Ø  Coordinate with freight providers, customs agents, warehouses, and internal stakeholders to manage delivery timelines

Ø  Track shipments and provide proactive updates on delays, ETA changes, and supply risks

Ø  Support freight booking and shipment consolidation activities where required

Ø  Maintain accurate shipment records and ensure timely receipt processing

Ø  Assist in resolving logistics disruptions through practical short-term mitigation actions

Ø  Support optimization of freight utilization and inbound supply flow

 

4. Inventory Planning & Availability Management

Support inventory optimization while maintaining agreed service and stock performance objectives.

Ø  Monitor inventory levels and recommend replenishment actions to maintain continuity of supply

Ø  Analyse inventory positions including stock coverage, ageing, shortages, and excess inventory

Ø  Support safety stock management and inventory parameter maintenance

Ø  Investigate root causes of stock variances and recommend corrective actions

Ø  Assist in reducing stockouts, backorders, excess inventory, and obsolete stock exposure

Ø  Provide inventory insights and reporting to support business decision-making

Ø  Maintain accurate visibility of inbound inventory and expected availability dates

 

5. Demand Support & S&OP Preparation

Contribute to planning capability through data preparation, forecasting support, and cross-functional alignment.

Ø  Support demand planning activities through collection, validation, and analysis of demand inputs

Ø  Prepare planning reports and supply assumptions to support the S&OP process

Ø  Assist with forecast maintenance and continuous improvement of forecast accuracy

Ø  Analyze historical trends, promotional activity, and operational impacts on supply requirements

Ø  Identify demand and supply gaps and recommend operational responses

Ø  Prepare scenario modelling and planning inputs for review by the Head of Supply Chain

 

6. Systems, Data Integrity & Reporting

Ensure planning systems and master data remain accurate, timely, and fit for operational decision-making.

Ø  Maintain ERP and planning system master data including suppliers, lead times, MOQ, transit assumptions, and item attributes

Ø  Ensure purchase order, inventory, and shipment information remains current and accurate

Ø  Develop and maintain operational dashboards and reporting tools

Ø  Produce regular reporting on supply performance, inventory status, and operational KPIs

Ø  Support data validation activities to improve planning reliability and decision quality

Ø  Identify opportunities to automate reporting and improve planning processes

 

7.   Operational Improvement & Process Excellence

Contribute to continuous improvement initiatives that strengthen supply chain capability and efficiency.

Ø  Develop, document, and maintain supply chain standard operating procedures (SOPs)

Ø  Identify opportunities to improve planning processes, supplier responsiveness, and operational efficiency

Ø  Support implementation of supply chain improvement initiatives and system enhancements

Ø  Participate in root cause analysis and corrective action activities

Ø  Assist with market research and supplier benchmarking activities

Ø  Promote disciplined execution and process compliance across planning activities

 

8.   Stakeholder Management & Cross-Functional Support

Enable effective communication and decision-making across the supply chain network.

Ø  Provide timely and accurate supply updates to internal stakeholders

Ø  Communicate product availability, expected delivery timelines, and supply constraints

Ø  Partner with Sales, Warehouse, Finance, Operations, and Procurement teams to support business objectives

Ø  Support issue resolution through clear communication and coordinated action plans

Ø  Build collaborative relationships with suppliers and service providers

 

9.   Governance, Safety & Compliance

Support operational activities in accordance with company policies and compliance requirements.

Ø  Ensure all activities are undertaken in accordance with workplace health and safety requirements

Ø  Comply with company policies, procedures, and operational standards

Ø  Support traceability, documentation, and audit readiness requirements

Ø Maintain confidentiality and integrity of commercial and supplier information 

Ad Hoc Activities:

1.    Support and contribute to the implementation of continuous improvement and Lean initiatives across supply chain operations..

2.    Contribute to team effort and effectiveness through collaboration, accountability, open communication, and a proactive approach to problem solving.

3. Operate professionally and ethically in accordance with company values, policies, and procedures while identifying opportunities to improve internal processes and operating effectiveness.

Requirements

Key skills for this role include but are not limited to:

Ø  Strong supply chain planning knowledge across purchasing, inventory management, replenishment, logistics, and supplier coordination

Ø  Purchase order management and operational execution skills with ability to manage end-to-end order flow

Ø  Inventory planning and forecasting skills with understanding of service levels, lead times, and supply continuity

Ø  Strong analytical and problem-solving skills with ability to interpret data and make practical recommendations

Ø  Supplier management and expediting skills to maintain continuity of supply

Ø  Understanding of S&OP processes and planning inputs

Ø  Strong attention to detail and commitment to data accuracy and process discipline

Ø  Effective communication and stakeholder management skills across suppliers and internal teams

Ø  Strong organizational, prioritization, and time management skills

Ø  Ability to work independently and manage competing priorities in an offshore environment

Ø  5+ years’ experience in supply chain planning, purchasing, inventory planning, or supply operations

Ø  Experience working with international suppliers and offshore operations preferred

Ø  Experience within manufacturing, distribution, import/export, or multi-site supply environments advantageous

Ø  Relevant tertiary qualification in Supply Chain, Operations, Commerce, Engineering, or related discipline preferred

 APICS / CPIM / CSCP qualifications desirable

Ø  Proficiencies:

·         Microsoft Office – Advanced Excel

·         ERP – Inventory, Warehouse & Finance software

·         General computer capabilities
