V2X is seeking a Senior Program Administrator to provide comprehensive program management, compliance, and operational support to a high-visibility portfolio supporting the U.S. Department of War (DoW), formerly DoD, and national security customers. This role is a central, trusted partner to the Program Area Lead, Program Manager, and cross-functional teams. The coordinator will drive standardized processes across sites, manage secure access and travel workflows, maintain audit-ready documentation, and support quality and proposal activities in a fast-paced, highly regulated environment.
The ideal candidate brings deep experience in government contracting program support, Concur travel/expense management, SharePoint administration, QMS/CMMI compliance, onboarding/security coordination, and cross-functional collaboration.
ResponsibilitiesProgram Area Lead & Executive Support
- Provide direct operational and administrative support to the Program Area Lead and senior program leadership.
- Coordinate and track leadership-driven special projects, including data collection, status reporting, and implementation of standardized processes across sites.
- Support site-level process standardization, documentation development, and adoption of common templates and guidelines.
Secure Access & Personnel Coordination
- Manage CAC submissions, tracking, expirations, and renewals for program staff; maintain accurate, up-to-date records of current CAC holders.
- Coordinate with Security, HR, and program leadership to ensure timely processing and compliance with DoW/DoD and customer requirements.
- Support personnel onboarding/offboarding processes, including documentation, training coordination, and clearance/CAC status tracking.
Travel & Expense Management
- Coordinate travel requests including approvals, compliance checks, and documentation for program personnel.
- Track travel “actuals” for budgeting, reporting, and compliance purposes.
- Partner with finance/compliance teams to ensure adherence to GSA, customer, and V2X travel and expense policies.
Secure Data & Transaction Tracking
- Track and maintain records of document transactions across the team.
- Ensure oversight and standardization for the correct routing, documentation, and retention of secure transmissions in accordance with program and customer requirements.
SharePoint & Collaboration Tools Administration
- Lead the standardization and management of SharePoint sites for the program, including:
- Standardization of document storage, folder structures, and naming conventions.
- Development and communication of document-management guidelines.
- Ongoing maintenance of audit-ready, easily navigable electronic filing systems.
- Provide user support, guidance, and training on SharePoint and collaboration tools (e.g., Teams, ADO/Azure DevOps) to enhance team efficiency and accessibility.
Quality Management & Audit Readiness
- Serve as the internal point of contact for Quality Management System (QMS) activities and support alignment with corporate and customer quality standards.
- Coordinate self-assessments of program auditability, including gap identification, corrective action tracking, and readiness for internal/customer audits.
- Support internal audits and appraisal activities, partnering with quality and process teams to ensure documentation meets applicable standards (e.g., CMMI Level 3 maturity, if applicable).
Procurement & Internal Workflow Support
- Assist in the management and reporting of PRs (Purchase Requisitions) and RFMs (Requests for Material) related to internal development activities, ensuring timely routing, approvals, and closure.
- Collaborate with finance, supply chain, and operations staff to maintain visibility into procurement status and ensure alignment with program priorities.
Proposal & Program Documentation Support
- Support business development activities by:
- Coordinating schedules, inputs, and review cycles.
- Managing document control, versioning, and secure distribution.
- Maintaining organized repositories of proposal artifacts and supporting materials.
- Assist in preparing program reports, metrics, presentations, and customer-facing documentation as needed.
QualificationsRequired Skills:
- High school diploma and 10+ years of related administrative/program operations experience; or associate’s/bachelor’s degree with 6+ years of experience.
- Experience supporting government contracting programs, operations, or PMO functions in a defense, aerospace, or national security environment.
- Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Microsoft Teams and SharePoint (site/content organization, document libraries, permissions basics).
- Demonstrated ability to manage multiple parallel tasks, priorities, and deadlines in a fast-paced, multi-team environment.
- Strong written and verbal communication skills with the ability to interact professionally with executive leadership, technical teams, and external stakeholders.
- Ability to handle sensitive information and maintain confidentiality and compliance with security requirements.
- Must be a U.S. Citizen with the ability to obtain an Active DoD/DoW Secret Clearance.
- Ability to travel up to 25% of the time.
Desired Skills:
- Prior experience in similar large defense contractor supporting multi-site or portfolio-level operations.
- CAC management and personnel security coordination.
- Concur or similar travel/expense systems and GSA travel policy compliance.
- SharePoint administration and document management best practices.
- QMS, CMMI, ITIL, or other process/compliance frameworks and internal audit support.
- Azure DevOps (ADO) or similar work management tools.
- PR/RFM processes and basic financial or procurement coordination.
- Active Secret clearance or higher.
- Professional certifications such as PMP, CAPM, CMMI Associate, ITIL, or Six Sigma are strongly preferred.
