Senior Payroll & Benefits Specialist 


Remote Work: This position is remote; however, the employee must reside within reasonable commuting distance of a SyBridge Technologies U.S. facility. Periodic travel to a SyBridge facility may be required for meetings, training, collaboration, or other business needs.


Eligible Locations: St. Petersburg, FL; Schaumburg, IL; Fairview, PA; Fitchburg, MA


Position Summary

The Senior Payroll & Benefits Specialist is responsible for the accurate and timely administration of U.S. payroll and employee benefit programs across a private equity-backed, multi-site organization. This role serves as a key resource for payroll processing, benefits administration, HRIS data integrity, payroll compliance, reporting, and employee support. The position will work closely with Human Resources, Finance, Accounting, site leadership, and employees to ensure payroll and benefit processes are accurate, efficient, compliant, and aligned with company policies.

 

The ideal candidate will have hands-on experience with ADP payroll and HRIS platforms, multi-state and multi-entity payroll, benefits administration, payroll reconciliation, and federal, state, and local payroll requirements. This position will also play an important role in process improvement, HR technology initiatives, standardization across multiple locations, and integration of newly acquired businesses.



Essential Responsibilities:

 

Payroll Administration

  • Manage and process U.S. payroll cycles across multiple locations and entities using ADP, ensuring accurate and timely payroll processing.
  • Review payroll inputs including hours, overtime, bonuses, commissions, deductions, PTO, leave, and other compensation adjustments.
  • Ensure accurate processing of new hires, terminations, promotions, transfers, salary changes, and other employee status changes.
  • Maintain accurate payroll records and employee payroll data within ADP.
  • Review payroll registers, exception reports, and other payroll reports prior to final payroll submission.
  • Research and resolve payroll discrepancies and employee payroll inquiries.
  • Process payroll adjustments, off-cycle payrolls, manual checks, and corrections as needed.
  • Coordinate payroll activities with Finance and Accounting, including payroll funding and general ledger reconciliation.
  • Reconcile payroll-related accounts, deductions, taxes, garnishments, and benefit withholdings.
  • Coordinate federal, state, and local payroll tax administration and filings with ADP and applicable vendors.
  • Support year-end payroll activities, including W-2 preparation, reconciliation, and related reporting.



Benefits Administration

  • Administer company benefit programs including medical, dental, vision, life insurance, disability, FSA/HSA, 401(k), and other employee benefit programs.
  • Manage employee benefit enrollments, changes, qualifying life events, and terminations.
  • Coordinate benefit deductions and ensure deductions are accurately reflected in payroll.
  • Reconcile benefit invoices, employee deductions, eligibility, and carrier/vendor records.
  • Partner with benefit brokers, insurance carriers, and third-party administrators to resolve employee and billing issues.
  • Support annual open enrollment activities, including system configuration, employee communications, testing, and reconciliation.
  • Maintain accurate benefit eligibility and enrollment records.
  • Assist employees with benefit questions and provide guidance regarding company benefit programs.



ADP / HRIS Administration

  • Serve as a key subject matter expert for ADP payroll and HRIS functionality.
  • Maintain employee data and ensure system information is accurate and up to date.
  • Perform system audits to identify discrepancies between HR, payroll, benefits, and timekeeping records.
  • Support ADP system implementations, upgrades, integrations, and process improvements.
  • Develop and maintain payroll, benefits, headcount, and HR reports.
  • Identify opportunities to automate manual processes and improve payroll and benefits efficiency.
  • Partner with HR, IT, Finance, and external vendors on HRIS integrations and data interfaces.



Compliance & Reporting

  • Maintain compliance with applicable federal, state, and local payroll, tax, wage-and-hour, and benefits requirements.
  • Monitor changes in payroll, tax, wage-and-hour, and benefits requirements and communicate relevant changes to HR and management.
  • Support payroll, benefits, financial, and internal audits and provide required documentation and reporting.
  • Maintain confidential employee, payroll, compensation, and benefits information in accordance with company policies and applicable requirements.
  • Prepare recurring and ad hoc payroll, benefits, headcount, and workforce reports for HR, Finance, Accounting, and management.
  • Private Equity / Multi-Site / Acquisition Support
  • Support payroll and benefits integration activities associated with mergers, acquisitions, and organizational growth.
  • Assist with the transition of acquired employees, payroll data, benefits, deductions, tax information, and historical records into ADP and company systems.
  • Identify payroll, benefits, and HRIS process gaps following acquisitions and recommend corrective actions.
  • Support the standardization of payroll and benefits processes, policies, controls, and reporting across multiple U.S. locations and legal entities.
  • Partner with Finance and HR during integration projects to ensure payroll and benefit changes are implemented accurately and on schedule.
  • Maintain strong documentation and audit trails to support financial reporting, compliance, and internal controls.

 

Process Improvement

  • Review existing payroll and benefits processes and recommend improvements to increase accuracy, efficiency, scalability, and internal controls.
  • Develop and maintain standard operating procedures for payroll and benefits processes.
  • Establish payroll and benefits audit controls to minimize errors and compliance risks.
  • Support the standardization of payroll and benefits processes across multiple U.S. locations and legal entities.
  • Assist with HR technology, system implementation, and process improvement projects as assigned.

 

Qualifications

  • Bachelor’s degree in Human Resources, Accounting, Business Administration, Finance, or a related field preferred.
  • 7–10+ years of progressive payroll and benefits experience, preferably in a multi-site, multi-entity, or manufacturing environment.
  • Strong hands-on experience with ADP payroll/HRIS platforms required.
  • Experience with 401(k) administration and annual benefit open enrollment required.
  • Experience processing payroll for multiple states and legal entities strongly preferred.
  • Solid understanding of federal, state, and local payroll regulations, wage-and-hour requirements, and payroll taxation.
  • Experience administering employee benefits and working with benefit carriers, brokers, and third-party administrators.
  • Strong experience with payroll reconciliation, reporting, audit processes, and internal controls.
  • Advanced Microsoft Excel skills, including formulas, lookups, PivotTables, and data analysis.
  • Experience with HRIS, payroll, timekeeping, and benefits systems.
  • Strong analytical and problem-solving skills with exceptional attention to detail.
  • Ability to handle confidential information with a high level of discretion.
  • Excellent communication, collaboration, and customer-service skills.
  • Ability to manage multiple priorities and meet strict payroll deadlines in a fast-paced environment.

 

Preferred Experience

  • ADP Workforce Now experience.
  • Rippling experience preferred
  • Multi-state and multi-entity payroll experience.
  • Experience supporting multiple legal entities, business units, or manufacturing sites.
  • Experience working in a private equity-backed, acquisitive, or high-growth organization.
  • Experience supporting mergers, acquisitions, payroll conversions, or HRIS integrations.
  • Experience with payroll/HRIS system implementation or conversion.
  • Experience with timekeeping integrations and payroll interfaces.
  • CPP or FPC certification preferred.

 

Key Success Measures

  • Payroll is processed accurately and on schedule across supported U.S. locations and entities.
  • Payroll and benefit discrepancies are identified and resolved promptly.
  • Employee payroll and benefit records remain accurate, compliant, and properly documented.
  • Benefit invoices and payroll deductions are properly reconciled.
  • ADP/HRIS data integrity is maintained.
  • Payroll and benefits processes are continuously improved, standardized, and scalable.
  • Acquired employees and locations are successfully integrated into standardized payroll and benefits processes.
  • Payroll and benefits controls support audit readiness and accurate financial reporting.
  • Employees receive timely, professional, and accurate support regarding payroll and benefits.
