About the Position

The Sr. Finance Operations Manager is a key individual contributor on the Finance & Accounting Team, responsible for the day-to-day financial operations that keep the organization running accurately and compliantly. This role has primary ownership of billing and collections, sales tax compliance, AR and revenue reconciliations, and vital parts of our month-end close operations, while also supporting the FP&A processes and management reporting that inform leadership decisions. This is an operational role at its core, with meaningful analytical responsibility layered on top.

Working closely with the Director of Finance & Accounting, the Sr. Finance Operations Manager owns the execution layer of the finance function: ensuring billing goes out on time, collections are actively managed, sales tax filings are accurate, reconciliations are clean, and the close runs smoothly. This role also supports the budget and forecast cycle, grant reporting, partisan electioneering spend analysis, and financial dashboard maintenance, freeing the Director to focus on strategic financial leadership. Please note that this is an individual contributor role without people management responsibility.

The ideal candidate is a highly organized, process-driven finance professional with strong accounting fundamentals and enough analytical capability to own reporting and FP&A support. They take genuine pride in operational accuracy: billing that goes out correctly, reconciliations that close clean, and compliance filings that are never late. They bring the initiative to improve processes and the judgment to escalate when something needs senior attention.

What You’ll Do

Accounting & Reconciliations

• Own AR, revenue, and deferred revenue reconciliations end-to-end, preparing monthly reconciliations, investigating variances, and ensuring accurate revenue recognition in accordance with applicable accounting standards;
• Prepare and issue customer and partner billings; monitor collections and follow up on outstanding receivables to ensure timely collection;
• Support month-end close by preparing assigned journal entries, maintaining close checklists, and coordinating with the Accountant to ensure timely completion of all close tasks;
• Perform balance sheet account reconciliations for assigned accounts; investigate and resolve discrepancies independently; and
• Review and confirm sales and use tax calculations and filings through Avalara; maintain supporting documentation and schedules.

Financial Planning & Analysis

• Support administration of the annual budget and rolling forecast cycles, including data entry and validation in Vena, coordinating inputs from business leaders, and ensuring accuracy of consolidated outputs;
• Prepare and distribute monthly budget variance analyses for budget managers and leadership with clear explanations of key drivers;
• Maintain and update PowerBI financial dashboards; identify opportunities to improve the relevance and usability of financial reporting for non-finance audiences;
• Build and maintain ad hoc financial models to support strategic decisions, scenario planning, and investment analysis as requested by the Director or leadership team; and
• Lead partisan electioneering spend analysis and maintain supporting documentation and schedules required for compliance reporting.

Grant & Compliance Reporting

• Maintain grant expense tracking schedules across all active grants; ensure expenses are properly coded, allocated, and reconciled against grant budgets;
• Prepare the financial portions of grant reports in partnership with the Director and program teams; ensure reports are accurate, complete, and submitted on time;
• Support preparation of audit schedules, supporting documentation, and responses to auditor inquiries for assigned areas; and
• Assist with 990 and tax filing preparation by pulling required data, preparing supporting schedules, and coordinating documentation.

Payroll & Treasury Support

• Partner with HR and People Operations (including relevant business leaders) to ensure payroll allocations are accurate and entered into Vena on time, and
• Maintain data integrity between TriNet, Vena, and Intacct.

Systems & Process Improvement

• Maintain data integrity across financial systems (Sage Intacct, Vena, Bill.com, PowerBI); identify and escalate discrepancies or systemic issues;
• Identify opportunities to streamline or improve recurring financial processes, reporting workflows, or reconciliation templates; lead implementation of improvements within their scope; and
• Maintain organized, auditable financial records and documentation in accordance with internal controls and nonprofit accounting standards.

Requirements

• Bachelor's degree in Accounting, Finance, or a related field, or equivalent practical experience;
• 5–7 years of progressive finance or accounting experience with confident, independent ownership of FP&A processes (budgeting, forecasting, variance analysis) and accounting operations (reconciliations, close support, journal entries);
• Solid understanding of GAAP and nonprofit accounting fundamentals;
• Strong proficiency in Excel or Google Sheets, including financial modeling and complex reconciliation work;
• Experience with ERP systems (Sage Intacct preferred) and financial planning tools (Vena, or similar);
• Strong analytical skills with high attention to detail and the ability to manage multiple deliverables across competing deadlines;
• Effective communication with the ability to present financial information clearly to non-finance colleagues; and
• Comfort working independently and taking ownership of processes without close supervision.

Nice to Haves

• Experience in a nonprofit organization, including exposure to grant accounting, restricted fund tracking, and 501(c)(3)/(c)(4) structures;
• Familiarity with sales tax compliance and revenue recognition requirements;
• Experience with PowerBI or comparable data visualization tools;
• Exposure to payroll systems, PEO’s and allocation methodologies (e.g., TriNet);
• Experience supporting external audits through schedule preparation and auditor coordination; and/or
• Prior experience improving or documenting accounting or FP&A processes and controls.

The Sr. Finance Operations Manager is a full-time, salaried position with a comprehensive benefits package (detail below), open to candidates anywhere in the United States.

The salary for this position is $127,075. We set compensation using market data and apply it consistently across the organization to ensure fairness and transparency for everyone in similar roles.
