AI Summary

Own enterprise-wide scheduling policies, performance analytics, and product roadmap input to reduce clinician drive time, improve the user experience, and increase in-home patient visit time. Lead scheduling coordinator development through two team leads, partner across operations and technology, and use analysis and process improvements to optimize territories and scheduling practices.

Position: Senior Director, Scheduling Operations

As Senior Director of Scheduling Operations, you will own visit scheduling across the organization, including policies, reporting, user behavior, and product design and roadmap. The objective of the role is to optimize scheduling enterprise-wide, which means reducing drive time for our clinicians, improving the scheduling experience for our users, and increasing in-home visit time, particularly for our most complex patients. You will pursue these objectives through product changes, reporting that reinforces effective scheduling behavior, and training, delivered through the two Scheduling Team Leads who report to you and run our scheduling coordinator development program.

Scheduling is a multi-factorial problem. Drive time is shaped structurally by how territories are designed, how the territory tool functions, and behaviorally by how visits are scheduled. Separating those effects takes deep investigation, root-cause analysis, and disciplined problem solving. The ideal candidate is intensely curious and eager to roll up their sleeves, is fluent in both operations and technology, and can move comfortably between clinician training, a system configuration, and a roadmap conversation with senior leaders.

Responsibilities

  • Own scheduling policy and standards enterprise-wide, and drive adoption of effective scheduling behavior in our clinical teams and call center
  • Own drive-time analytics as the definitive measure of scheduling performance, and build the reporting and oversight that tracks results against target, holds schedulers accountable, and reinforces the behaviors that most reduce drive time and increase in-home visit time
  • Inform and shape the scheduling product roadmap, partnering closely with technology to translate operational needs into product requirements and to prioritize the changes with the greatest impact on drive time and user experience
  • Partner on the territory optimization engine, ensuring territory design and day-to-day scheduling work together to reduce drive time, increase patient coverage and balance clinician panel burden
  • Manage the scheduling coordinator development program via your two Scheduling Leads, setting up the training curriculum and development path for scheduling users across the enterprise
  • Design and launch scheduling process and product changes efficiently, minimizing change fatigue for our clinicians while driving the company roadmap and reaching our business objectives
  • Conduct root-cause analysis on scheduling-related challenges, decomposing multi-factorial issues into the specific levers that leadership can act on
  • Present roadmap and performance confidently to senior stakeholders, translating detailed analysis into clear recommendations and trade-offs
  • Collaborate with local and regional leadership, clinical operations, technology, and other shared services to adapt scheduling in a rapidly changing organization

Position Requirements

  • Bachelor’s degree or equivalent education
  • Minimum of six (6) years of relevant experience in healthcare operations or product, ideally including time at a startup
  • Advanced technical skills, including hands-on knowledge of Salesforce and experience deploying AI in an operational setting
  • Demonstrated ability to perform detailed data analysis, conduct root-cause analysis, and recommend concrete actions and processes based on those analyses
  • Self-starter and independent, critical thinker who is genuinely curious and willing to roll up their sleeves to reach operational objectives
  • Ability to present confidently to senior stakeholders on roadmap and performance, and to communicate through clear, concise written documentation that captures both business intent and technical detail
  • Experience with database and analytics solutions (e.g., Salesforce Health Cloud, Databricks, Claude, Power BI) and workflow mapping tools
  • Mastery of Microsoft Excel and PowerPoint
  • Experience in scheduling, routing, or dispatch operations strongly preferred

In addition to base salary, this role is eligible for additional compensation, including bonus opportunities and a comprehensive benefits package.
