BROAD FUNCTION AND SCOPE OF THE POSITION:

Are you a passionate, highly organized Meetings and Travel expert looking for a role where you can have an impact?  Are you excited to use cutting edge technology to bring an event experience to life? Breakthrough T1D is looking for a Senior Associate to join our Meetings and Conferences Team.

Breakthrough T1D’s Meetings and Conferences Department is responsible for planning and executing events of varying sizes and scopes, supporting the organization’s travel needs, and overseeing the organization’s event registration and technology platforms. The Senior Associate, Meetings and Conferences will report to the AVP, Meetings and Conferences and partner with the full events team, to create event experiences that inspire and move our mission forward.

This position works very closely with National Departments (Research, HR, Development/Fundraising, etc.) as well as with Breakthrough T1D’s Chapters throughout the United States. The position requires strong attention to detail, flexibility to “wear multiple hats,” and a desire to learn and grow professionally.

SPECIFIC RESPONSIBILITIES:

  • Lead Meeting & Event Planning – serve as the lead event planner for events attended by 10-250 people owning all steps of the event planning process including timeline creation, registration website builds/management, venue sourcing and contracting, logistics management, and on-site execution. All of these tasks are to be completed with an eye towards savings, efficiency, and providing optimal attendee experience.
  • Marquis Event Support – Assist senior members of the team in the planning of Marquis Events. This includes leading aspects of the planning process, which may include logistical coordination, rooming list management, offsite event planning, and providing on-site support.
  • Serve as Cvent Administrator – understanding high-level programing capabilities of the Cvent Platform (encompassing modules such as Registration, Attendee Hub, Survey, and Essentials) to maximize potential usage throughout organization. As the administrator, you will be looked to as a resource for training and guidance on how best to use the tool.
  • Travel Agency Liaison – Partner with Travel agency for internal inquiries/travel needs and management of cancelled airline tickets; manage travel profiles in online booking tool; review weekly correction and billing reports.
  • Vendor Management – serve as a liaison with key vendors including production companies, venues, and technology vendors representing Breakthrough T1D in discussions, planning, and management.  
  • Budget Management and Reporting– build out and manage event budgets with an emphasis on savings and cost avoidance, reporting all savings in Cvent.
  • Project Management – Utilize systems such as Monday.com for project management and task tracking.

EXPERIENCE & REQUIREMENTS: 

  • College Degree or equivalent experience
  • 5+ years of event planning, event tech, or travel industry experience
  • History of managing all aspects of events attended by 200+ people
  • Proficiency or Certification in Cvent
  • Exemplary Communication skills both verbal and written
  • Outstanding time & task management skills
  • Strong desire to learn and utilize technology
  • Self-Motivated and able to work independently on projects
  • Ability to multi-task and adapt to changing industry and stakeholder needs
  • Proficiency with Microsoft Office Suite 
  • Ability to travel 4-6 times a year (2-4 days each time)

EDUCATION:

  • Bachelor’s degree or equivalent experience

Target Salary: $55k - $65k

The noise level in the work environment is usually moderate.
