Responsibilities
- Coordinate and manage schedules for consultants, project teams, and internal resources using calendar management tools.
- Schedule client meetings, appointments, and conference calls while managing time zone differences and prioritization.
- Communicate with clients and internal stakeholders to confirm appointments, send reminders, and address scheduling conflicts.
- Maintain up-to-date scheduling records and ensure accuracy across all platforms and systems.
- Assist in the planning and coordination of project timelines and milestones to ensure deliverables are met.
- Prepare and distribute scheduling notices, meeting agendas, and related documentation as needed.
- Monitor inboxes and scheduling requests, routing them to appropriate team members when necessary.
- Collaborate with administrative and technical teams to optimize resource allocation and capacity planning.
- Identify and resolve scheduling issues proactively to minimize disruptions to daily operations.
- Provide general administrative support during peak periods and assist with additional operational tasks as assigned.
Requirements
- High school diploma or equivalent; associate degree or relevant certification is a plus.
- 0–2 years of experience in scheduling, administrative support, or a related role.
- Strong proficiency with calendar management tools such as Microsoft Outlook, Google Calendar, or equivalent platforms.
- Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Strong written and verbal communication skills for professional interactions with clients and team members.
- Exceptional attention to detail and accuracy in record-keeping and data entry.
- Ability to work independently in a remote environment while staying aligned with team objectives.
- Basic proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and collaboration tools such as Slack or Microsoft Teams.
