They receive incoming jobs, assign them to the quality control team, track each job through to completion, and follow up when work is late or incomplete. Their secondary responsibility is hands-on quality control, reviewing and editing jobs alongside the team.

The role makes sure every photographed job is reviewed on time and to the same standard, so images and subject data are accurate before they reach customers. By balancing workload across the team and spotting delays early, the Quality Coordinator helps meet turnaround times, reduce remakes and customer concerns, and protect brand consistency in yearbooks, composites and online galleries.

WHAT SUCCESS LOOKS LIKE

  • Maintains visibility into job status and proactively manages priorities during peak periods.
  • Supports the quality control team by balancing workloads and removing workflow bottlenecks.
  • Identifies image and data quality concerns before images reach customers.
  • Helps reduce remakes and customer concerns through strong quality oversight.
  • Contributes to continuous improvement through coaching, feedback, and process improvements.

KEY RESPONSIBILITIES

Primary: Job Coordination & Tracking

Job Intake & Assignment

  • Monitor incoming jobs as photographers submit them and confirm each job is ready for quality control.
  • Assign jobs to quality control team members based on workload, due dates, job size and experience.
  • Prioritize jobs by delivery and activation dates, yearbook and composite deadlines, and peak-season demands.
  • Rebalance assignments when volumes spike, a team member is away, or a job is urgent.

Tracking & Follow-Up

  • Maintain a tracking system showing the status of every job, from intake through assignment to completion.
  • Monitor progress daily and follow up with team members on jobs that are late, stalled or incomplete.
  • Confirm the quality control checklist is complete on every job before it is marked complete.
  • Follow up with photography teams when a job is missing information, images or data needed to finish quality control.
  • Escalate jobs at risk of missing deadlines to the VP of Operations and affected teams.

Reporting & Communication

  • Report on job volumes, turnaround times and backlog to leaders.
  • Track common errors by photographer, region and job type, and share trends with leaders and the photography training teams.
  • Act as the main point of contact for questions about job status.
  • Recommend improvements to intake, assignment and tracking processes.

Secondary: Quality Control & Editing

The Quality Coordinator also reviews and edits jobs, especially during peak season or when the team is at capacity.

Image Editing & Quality Control

  • Ensure head sizes are consistent across all subjects.
  • Apply correct positioning as needed.
  • Remove backgrounds and correct glass glare.
  • Verify unsellable images have been removed from customer galleries.

Lighting & Brand Consistency

  • Review images for lighting consistency across photographers on the same job.
  • Report lighting or calibration issues to the photography team.

Data Quality & Accuracy

  • Confirm every subject has a Primary Image starred.
  • Identify and separate combined files so that each subject receives only their own images, protecting customer privacy.
  • Verify subjects are correctly identified as Student or Staff.
  • Check names are correctly formatted, including capital first letters.
  • Confirm email addresses are entered for grads so they receive their galleries.
  • Verify Photography Opt Outs before a job is activated.

Photography Support

  • Provide clear, constructive feedback to photography teams on recurring issues.
  • Document examples of high-quality images and opportunities for improvement.
  • Partner with the photography training teams to identify training needs and update quality standards and checklists.

QUALIFICATIONS

  • 2–3 years of experience in photo editing, quality control, production or workflow coordination, preferably in school or volume photography.
  • Must be legally authorized to work in Canada and able to perform work from within Canada
  • Experience assigning, scheduling or tracking work for a team.
  • Strong organizational and prioritization skills; able to manage many jobs and deadlines at once.
  • Comfortable with tracking tools and spreadsheets, photo editing software and image-management systems.
  • Strong eye for detail, including head size, centering, lighting and color consistency.
  • High accuracy with data entry and record checking.
