Overview

We are looking for a proactive and organized Virtual Assistant to support a U.S.-based business with relationship management, CRM administration, and outreach activities. This role combines administrative responsibilities with client communication and business development support.

The ideal candidate is highly organized, communicates professionally, enjoys building relationships, and is comfortable managing multiple priorities using a variety of online tools.

Key Responsibilities

  • Follow up with existing law firm contacts to maintain and strengthen relationships.
  • Conduct professional cold outreach to prospective law firms.
  • Maintain and update CRM records, ensuring all information is accurate and current.
  • Assist with social media outreach and engagement.
  • Schedule follow-ups and keep communication pipelines organized.
  • Track outreach activities and maintain detailed records.
  • Support general administrative tasks as needed.
  • Collaborate with the team through online communication platforms.

Required Skills & Qualifications

  • Excellent written and spoken English.
  • Strong attention to detail.
  • Confident and professional phone communication skills.
  • Previous administrative experience.
  • Comfortable conducting both warm and cold outreach.
  • Highly organized with strong time management skills.
  • Ability to work independently while following established processes.
  • Positive attitude and willingness to learn.

Preferred Experience

Experience using any of the following tools is an advantage:

  • Monday.com
  • Trello
  • Google Workspace
  • Slack
  • RingCentral
  • CRM platforms

Previous experience working with law firms, legal professionals, or in a B2B environment is a plus but is not required.

Working Hours

  • Full-time position.
  • 8:00 AM to 5:00PM (PST)

Bonus

Performance bonuses may be offered in the future. Details will be determined by the client.
