As we continue to grow, we are seeking a detail-oriented and highly organized Payroll Specialist to join our remote Finance & Operations team. This role is responsible for ensuring employees are paid accurately and on time while maintaining compliance with federal, state, and company payroll regulations.
The Payroll Specialist is responsible for managing the end-to-end payroll process for a multi-state remote workforce. This role ensures accurate payroll processing, maintains employee payroll records, administers payroll-related transactions, supports compliance efforts, and serves as a trusted resource for payroll inquiries.
The ideal candidate has exceptional attention to detail, strong analytical skills, excellent customer service abilities, and experience working with payroll systems in a fast-paced environment.
Key Responsibilities
- Process bi-weekly payroll accurately and on schedule for employees across multiple U.S. states.
- Review and validate employee time records, payroll changes, bonuses, commissions, reimbursements, and deductions.
- Maintain payroll records while ensuring data accuracy and confidentiality.
- Calculate wages, overtime, holiday pay, PTO, and applicable deductions.
- Ensure payroll complies with federal, state, and local employment and tax regulations.
- Process new hire payroll setup, employee status changes, promotions, and terminations.
- Coordinate with Human Resources regarding employee compensation updates and payroll documentation.
- Respond promptly to employee payroll questions and resolve payroll discrepancies.
- Prepare payroll reports for Finance, HR, and executive leadership.
- Assist with payroll audits and year-end payroll activities, including tax forms and reporting.
- Reconcile payroll records and identify discrepancies before payroll submission.
- Maintain payroll procedures and recommend process improvements.
- Support benefits deductions and retirement contribution administration.
- Collaborate with Finance and Accounting during monthly and year-end close processes.
- Perform additional payroll and finance-related duties as assigned.
Requirements
- Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or a related field (or equivalent professional experience).
- Minimum of 2 years of payroll processing experience.
- Experience processing multi-state U.S. payroll.
- Strong understanding of payroll regulations, wage and hour laws, and payroll tax requirements.
- Excellent analytical and problem-solving skills.
- Exceptional attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to handle confidential information with professionalism.
- Proficiency with Microsoft Excel and Microsoft Office.
- Ability to work independently in a fully remote environment.
