About the role:
We are building a dedicated outbound calling team for a U.S. healthcare client running a patient wellness-visit scheduling campaign. You will call the practice’s own established patients, on the practice’s behalf, to schedule their Annual Wellness Visits.
This is warm outreach, not cold sales. Patients recognize the practice, and the call is a courtesy on their own physician’s behalf. There is no hard selling.

You will work entirely inside the client’s own systems through a secure virtual desktop. Nothing is stored on your machine.
This is a defined-length campaign with a hard end date, not an open-ended position. Strong performers are prioritized for future HelpSquad engagements.

What you will do:
  • Place outbound calls to patients from a client-provided call list, using the client’s cloud phone system (no auto / predictive dialer at this time)
  • Follow the client’s approved script, scheduling rules, and call-handling procedures
  • Book appointments directly into the client’s electronic health record and scheduling system
  • Document the outcome of every call accurately in the client’s system
  • Handle common objections and reschedule requests professionally
  • Escalate anything outside the script to your Team Lead
  • Meet daily activity and quality expectations set with your Team Lead


What you will not do: give any medical, clinical, or insurance advice; answer questions about a patient’s condition, medications, or test results; or discuss anything beyond scheduling. Those calls get transferred, every time. This is a firm rule, not a guideline.


Requirements

What we are looking for

Required:
  • This is a fully dedicated role which requires 100% of your attention during the shift
  • 1+ years in outbound calling, appointment setting, patient access, or contact center work
  • Clear, neutral, easily understood spoken English and a warm, patient telephone manner
  • Comfort speaking with US-based adults, including older patients who are hard of hearing, confused about why you are calling, or slow to respond
  • Accurate data entry while holding a live conversation
  • Ability to follow a script and a compliance boundary precisely, without improvising
  • Availability for the full campaign term with no planned absences
  • Willingness to complete HIPAA privacy and security training and a background check before starting


Strongly preferred:
  • Prior U.S. healthcare experience: medical office, patient access, scheduling, or medical answering service
  • Familiarity with a cloud EHR such as athenahealth, or with a cloud phone platform such as Dialpad
  • Experience with Medicare wellness visit or preventive-care outreach
  • High-volume manual dialing experience, 100+ dials per day
Shift and time zone — read this carefully
All patients are in the U.S. Central Time zone. Calls are placed only between 8:00 a.m. and 9:00 p.m. Central Time. Shifts are staggered across that window and assigned by your Team Lead.


Depending on where you are located, this may be an overnight shift. For example, 8:00 a.m. Central is 9:00 p.m. in Manila. Please confirm you can reliably work these hours for the full campaign before applying. Attrition partway through a fixed-term campaign hurts the patients we are calling and the team you are on.
Note that U.S. daylight saving time ends on November 1, 2026. Your local shift times will shift by one hour for the final two weeks of the campaign.


Work environment and equipment:

You must have:
  • A private, quiet workspace where no one else can see your screen or overhear your calls. This is a HIPAA requirement, not a preference. Shared rooms, cafés, and coworking spaces are not acceptable.
  • A reliable computer capable of running a remote virtual desktop session
  • Wired or stable broadband internet with sufficient upload speed for clear voice calls
  • A noise-cancelling USB headset
  • A backup plan for power and internet outages


Compliance requirements:
Because you will be handling protected health information:
  • You will complete HIPAA privacy and security awareness training before you are given any system access
  • You will sign confidentiality and information-security agreements
  • You may not write down, screenshot, photograph, copy, store, or forward any patient information at any time, in any form
  • You will access patient data only through the secured virtual desktop and only as needed for scheduling
  • You will pass a background check

Any breach of these rules ends the engagement immediately.
