About the Role:

This is a fully remote, administrative role for someone with a background in medical assisting or medical office administration. You’ll process referrals, extract relevant information, document it in the EMR, and manage outgoing faxes to providers. Communication is mostly limited to internal coordination, but some communication with patients may be required. This role is ideal for someone who enjoys structured, behind-the-scenes work.

Key Responsibilities:

  • Review and process incoming digital e-faxes from referring providers
  • Accurately enter patient demographics, diagnosis codes, insurance details, and treatment orders into the EMR
  • Confirm referral details with doctors and referrals via phone and email
  • Follow-up with doctors and referrals as needed
  • Log patient calls per standard SOPs
  • Send schedule confirmations and post-treatment summaries to referring offices via fax
  • Create or update patient charts based on received documentation
  • Identify incomplete or unclear information and flag for internal follow-up
  • Ensure consistency, accuracy, and organization across patient records

Requirements:

  • 3+ years experience as a Medical Assistant or medical administrative experience required
  • Strong written and verbal English communication skills (for client phone communication)
  • Strong attention to detail and high accuracy with data entry
  • Familiarity with digital e-fax platforms and EMR systems
  • Comfort working independently in a remote setting
  • Understanding of medical terminology and clinical documentation
  • Reliable internet and a quiet home office environment
  • Ability to work full-time EST
