This is a remote position.

We are looking for a warm, organized, and highly reliable Healthcare VA to support a fast-growing pelvic floor physical therapy practice.


This role combines patient communication, scheduling, insurance verification, and prior authorization. You will be the first point of contact for patients, so excellent spoken English, professionalism, discretion, and a reassuring phone manner are essential.


The practice serves an exclusively female patient population, many of whom are seeking care for sensitive pelvic health concerns. The ideal candidate should be comfortable having thoughtful, respectful conversations about healthcare needs and insurance coverage while maintaining a high level of confidentiality.


You will work closely with the clinical team to make sure patients receive timely responses, understand their insurance benefits, and are scheduled as quickly as possible.


Key Responsibilities

Manage all inbound and outbound patient communication through Weave during business hours.

Respond promptly to patient messages, questions, and scheduling requests.

Call and text new patient inquiries immediately to help convert inquiries into scheduled appointments.

Schedule patients and coordinate appointment-related updates.

Perform insurance eligibility and benefits verification for applicable plans.

Speak directly with patients about their insurance coverage, benefits, and expected costs, and explain information clearly and accurately.

Obtain prior authorizations through EviCore when required by the patient's insurance.

Work with insurance plans including Blue Cross Blue Shield, Moda, and PacificSource, as well as cash-pay patients.

Communicate patient scheduling updates, insurance status, and other relevant information to the clinical team through Slack.

Keep patient records, messages, and follow-ups organized and up to date.

Follow HIPAA and practice confidentiality requirements when handling patient information.

Support other front-desk and administrative tasks as needed.



Requirements

Required Experience & Skills


Previous experience with US healthcare insurance eligibility and benefits verification.

Hands-on experience with prior authorizations in a US healthcare setting.

Ability to confidently speak with patients about insurance benefits and explain coverage in a clear, easy-to-understand way.

Excellent spoken and written English with a clear, professional, and neutral-sounding accent.

Warm, reassuring, and professional phone manner.

Strong conversational skills, particularly when speaking with nervous, hesitant, or concerned patients.

Highly organized and detail-oriented.

Able to manage multiple patient conversations and follow-ups without losing track of details.

Comfortable working in a fast-paced environment where new inquiries need to be answered quickly.

Strong computer skills and ability to learn new software quickly.

Comfortable handling confidential patient information and following HIPAA requirements.

Female applicants required due to the exclusively female patient population and the sensitive nature of pelvic health discussions.


Schedule

35 hours per week to start

Monday through Friday

7 hours per day

Potential to increase to 40 hours per week based on the practice's needs and the VA's availability

What We're Looking For


The ideal candidate is someone who can combine excellent patient care with strong insurance knowledge. You should be comfortable picking up the phone, speaking with patients confidently, following up without being asked, and making sure nothing falls through the cracks.

Technical Requirements:

Internet speed: Minimum 50 Mbps upload and download (wired connection strongly preferred).

A verified backup internet connection is required — mobile phone hotspots are not acceptable as backup.

Dedicated wireless dongles or secondary ISP connections are acceptable backup solutions.

Backup power source required (UPS or generator) to maintain connectivity during outages.

Quiet, professional workspace suitable for voice work — free from background noise and interruptions.

Noise-canceling headset required.

Reliable computer with sufficient processing power to run software systems and softphone simultaneously.

You must have Windows 11 or the most recent Apple OS / Update
