The Outbound Scheduler initiates contact with prospective clients to book qualified appointments for U.S.-based representatives. They are responsible for managing lead follow-ups, maintaining accurate CRM records, and ensuring compliance with U.S. marketing regulations.
Position Summary
The Outbound Scheduler initiates outbound contact with prospective U.S.-based clients and books qualified appointments onto the calendars of Phil-Am Insurance's licensed U.S. representatives. This is a key upstream function in the sales pipeline, built on disciplined outreach, persistent follow-up, and accurate CRM documentation.
This position does not sell insurance or give plan advice. The mandate is to engage prospects professionally, confirm interest, book the appointment, and make sure the prospect shows up.
Key Responsibilities
Outbound Contact & Appointment Setting
Place outbound calls to assigned U.S. lead lists during approved calling windows
Send follow-up SMS and email using approved scripts and templates only
Introduce Phil-Am Insurance at a high level and confirm interest in speaking with a licensed advisor
Book appointments directly into U.S. staff calendars, matching time zone and advisor availability
Confirm every appointment and send reminders ahead of the scheduled time
Lead Management & Follow-Up
Run multi-touch follow-up sequences to maximize contact rates and attendance
Log call outcomes, notes, and dispositions in the CRM accurately and in real time
Re-engage aged, recycled, and previously unresponsive leads per campaign rules
Reschedule cancellations and work no-shows back onto the calendar
Compliance & Quality
Follow U.S. insurance marketing rules, TCPA guidelines, and internal compliance policy without exception
Do not discuss plan details, pricing, benefits, or make recommendations of any kind
Escalate compliance questions and consumer complaints to leadership immediately
Performance & Collaboration
Hit daily and weekly activity targets for calls placed, contacts made, and appointments set
Participate in coaching sessions, call reviews, and team meetings
Work with U.S.-based staff to improve appointment quality and show rates

Required Qualifications
High school diploma or equivalent
1+ year in outbound calling, appointment setting, or BPO sales support
Excellent spoken and written English with a neutral or easily understood accent
Comfortable working U.S. business hours
Strong computer skills, reliable internet, and a quiet work space
Preferred Qualifications
Prior experience on U.S. insurance, Medicare, ACA, or financial services campaigns
Experience with U.S. CRM or dialer systems (GoHighLevel, HubSpot, Five9, or similar)
Familiarity with compliance-driven calling environments
Spanish exposure
