The owner is seeking an organized, reliable, and autonomous Virtual Assistant to help manage day-to-day operations and finances, supporting two business units simultaneously. 🚀
We are seeking a versatile and resourceful Full-Time Operations & Customer Support Specialist who will serve as the administrative and financial hub of the business.
This role is ideal for someone who can work independently, stay organized under pressure, and handle customer urgency with professionalism and empathy.
You will play a key role in ensuring smooth workflows, accurate communication, and efficient operations across the business. ⚙✨
📲 Customer Inquiry Management
Answer all customer inquiries via phone, text, and email
📅 Scheduling
Manage calendars and schedule service appointments
💬 High-Stakes Communication
Communicate with customers in an empathetic and professional manner during urgent situations (e.g., flooding, broken pipes)
🛠 Job Detail Management
Clearly communicate key details to the plumber (problem type, exact location, etc.) to ensure technicians arrive fully prepared
📄 Accounts Receivable (A/R)
Handle invoicing and accounts receivable, including tracking and following up on outstanding payments
📊 Data Management
Manage and update customer information and sales pipelines in the CRM (Housecall Pro or similar)
🗂 General Admin
Provide administrative support, including documentation, data entry, and proactive follow-ups

Ability to work independently and solve problems without constant supervision

Strong ability to communicate with calmness and professionalism, especially during urgent situations
