Employees must be available for collaboration during core hours from 10am to 3pm (PST).

ABOUT THE ROLE

The Operations Coordinator provides comprehensive administrative and program support for the assigned school. The role supports projects and daily operations, including accreditation and grant activities, course and schedule logistics, student and faculty services, and School communications and events.

TYPE OF SUPERVISION:

Receive general supervision from the Dean.

  • General Supervision — indicates that the incumbent performs a variety of duties; some of which may be complex duties within established policy guidelines; and receives occasional supervision.

POSITION DUTIES AND RESPONSIBILITIES:  

ESSENTIAL FUNCTIONS: 

Project & Administration Support - 50%

  • Provide project coordination support such as capturing meeting notes and action items, maintaining project trackers, monitoring deadlines, and following up on assigned tasks.
  • Support School initiatives, including document preparation, workflow coordination, budget and expense tracking, and other basic financial administration.
  • Assist school leadership with recruitment support, school specific onboarding, and session scheduling coordination of faculty, staff, or collaborators as needed.
  • Monitors competitive and industry trends, identifies process gaps, and escalates issues appropriately to School leadership
  • Serve as a point of contact for routine inquiries from students, faculty, staff, and external partners, directing requests to appropriate resources as needed.
  • Support student‑facing activities such as communications, events, awards, and documentation.

Accreditation, Assessment, and Grants - 20%

  • Coordinate specialized program accreditation activities by tracking accreditation cycles and timelines and helping with self‑study development and evidence collection.
  • Organize and maintain centralized digital repositories for accreditation and assessment documentation using clear version control and naming conventions.
  • Support School‑level assessment and continuous improvement efforts by maintaining calendars, collecting and summarizing learning‑outcome data, tracking action items, and preparing insights reports and summary materials.
  • Collaborate with institutional partners to obtain, verify, and format quantitative and qualitative data for accreditation and reporting purposes.
  • Provide administrative support for grant‑related activities, including researching funding opportunities, supporting grant writing, development activities, tracking deadlines, maintaining grant calendars and records, and assisting with compliance monitoring and reporting.
  • Serve as administrative support for accreditation reviews and site visits, including scheduling, document preparation, and logistical support.

Academic Program and Course Support - 15%

  •  Maintain course schedules and templates, monitor enrollment levels, and prepare routine reports for School leadership.
  • Support academic program delivery by arranging logistics for courses, professional development offerings, workshops, and events.
  • Assist with content uploads, learner communications related to logistics, enrollment tracking, and participant support for online and hybrid offerings.
  • Serve as the point of contact between the School and institutional partners to ensure smooth workflows and timely completion of academic tasks.

Communications and Marketing Support - 10%

  • Assist with internal and external communications by drafting and coordinating content for newsletters, emails, social media, websites, and reports.
  • Support School marketing and outreach efforts, including social media content, promotional materials, and coordination with institutional marketing partners.
  • Help maintain accurate, current, and consistent program information and messaging across communication platforms
  • Perform other duties, as assigned - 5%


 

POSITION SPECIFICATIONS AND REQUIREMENTS:

EDUCATION, EXPERIENCE, CERTIFICATION AND/OR LICENSES:

  • Bachelor's Degree or combination of equivalent education and experience
  • Three (3) to five (5) years of operational support and/or project coordination experience, preferably in higher education, online post-secondary education or academic affairs

Preferred Qualifications

  • Experience supporting academic operations, accreditation, assessment or compliance activities
  • Experience with scheduling, data reporting, enterprise systems, databases, CRM tools, or project management platforms
  • Experience with grant development or grant administration
  • Professional certification such as Certified Administrative Professional (CAP) or Project Management Professional (PMP)

ESSENTIAL KNOWLEDGE, SKILLS, AND ABILITIES:

  • Proficiency with standard office and collaboration tools and willingness to learn institutional systems
  • Proficiency in Microsoft Excel and data analysis, including data validation, pivot tables, advanced formulas (e.g., XLOOKUP, INDEX/MATCH), and basic data visualization; ability to synthesize quantitative and qualitative data into reports, dashboards, and actionable insights that inform operational and strategic decisions.
  • Strong customer service orientation and attention to detail
  • Excellent organizational, analytical, and problem‑solving skills
  • Strong written and verbal communication skills, including experience coordinating across departments and with senior leadership
  • Demonstrated ability to manage multiple projects, deadlines, and priorities with accuracy and attention to detail
  • Ability to work effectively with diverse internal and external stakeholders
  • Ability to handle confidential and sensitive information with a high degree of discretion, professionalism, and sound judgment
  • Ability to work independently while contributing positively to a collaborative team environment
  • Comfort navigating ambiguity and balancing competing priorities

The hiring range for this position is $26.00-$30.00 an hour. Offers are determined by a variety of factors, including but not limited to geographical location, knowledge, skills, years & depth of experience, and equity with internal team members.
