What You'll Do
As the Operations Associate, your key responsibilities will include:
Operations & System Support (60%)
- Support the Senior Director, Finance & Operations in the implementation, coordination, and continuous improvement of Generate Canada's operational systems, workflows, internal processes and organizational infrastructure;
- Contribute to the development and continuous improvement of internal workflows, templates, documentation, knowledge resources, SOPs and operational guidance to improve consistency, efficiency and organizational effectiveness;
- Contribute to ClickUp architecture, workflows, templates, dashboards, automations and information organization to support operational consistency, transparency and effective knowledge management;
- Support the implementation, testing, rollout, and optimization of operational systems, integrations, and process improvements under the direction of the Senior Director, Finance & Operations;
- Support organizational priorities, cross-functional initiatives and special projects in a fast-paced and evolving environment;
- Contribute observations, implementation feedback and operational recommendations to support sound decision-making, recognizing that overall systems strategy and implementation priorities remain the responsibility of organizational leadership;
- Support the HR Manager with the coordination and administration of core people operations, including recruitment, onboarding, offboarding, employee documentation and employee experience initiatives;
- Prepare, maintain and update HR documentation, templates, policies, forms, internal communications and process documentation to support consistent and effective HR administration;
- Maintain organized and confidential employee records and information while exercising sound judgment, professionalism and discretion when handling sensitive matters.
Executive & Administrative Coordination (SLT) (40%)
- Coordinate executive support and administrative activities in accordance with organizational priorities established by the President & CEO and Senior Director, Finance & Operations, balancing competing requests while ensuring alignment with broader organizational priorities;
- Coordinate meeting logistics, agenda preparation, documentation, note-taking, action-item tracking and follow-up to support effective decision-making and accountability;
- Prepare, format, proofread and coordinate presentations, briefing materials, reports, correspondence and other executive communications;
- Help maintain organized records, trackers, timelines, files and administrative systems to support efficient operations;
- Coordinate follow-up across internal stakeholders to help ensure commitments, deadlines and action items remain visible, appropriately assigned and completed on time;
- Coordinate travel logistics, expense submissions and other executive administrative activities in support of the President & CEO, as required;
- Represent the Office of the President & CEO and Senior Leadership Team professionally, diplomatically and with discretion in interactions with internal and external stakeholders.

Qualifications
- 7-10 years in an Executive Assistant, Senior Administrative Professional, or similar role, preferably in nonprofit or mission-driven organizations.
- Proficient with Zoom, Miro, Monday.com, and Google Workspace (Docs, Sheets, Gmail) or other common productivity software.
- Demonstrated ability to manage complex schedules and high-pressure deadlines with precision within a remote work environment.
- Proven track record of productivity and engagement in fully remote work environments.
- Strong written and verbal skills.
- Extensive experience applying independent judgment and maintaining discretion with sensitive and confidential information.
- Extensive experience exercising independent judgment and discretion in managing sensitive and confidential information.
