About the Role


Reporting to the Head of Membership and Partnerships, the Membership Officer supports the delivery of IRF's membership strategy by ensuring effective member administration, engagement, communications, and service delivery. This role covers the full membership cycle — from initial interest and onboarding through to retention and re-engagement — through proactive relationship management, coordination of membership activities, and accurate data and reporting processes. Working closely with internal teams and external stakeholders, the Membership Officer helps strengthen the member experience with a key focus on CRM maintenance, integrations, and workflows.


Key Responsibilities


Membership Administration and Support

  • Oversee membership administration in the CRM throughout the member cycle, maintaining accurate, up-to-date membership records and contact data.
  • Support the implementation and maintenance of system integrations, automations, and workflows.
  • Respond to member inquiries promptly and professionally, providing ongoing support.
  • Support the preparation and distribution of membership materials, documents, and resources.
  • Coordinate IRF Committee activities.

Member Engagement and Communications

  • Assist in implementing member engagement initiatives to strengthen participation and retention.
  • Take a confident approach to outreach and lead generation, promoting IRF's value to prospective members and growing the Membership Community.
  • Coordinate regular communications and newsletters with members, ensuring consistency with organisational branding and messaging.
  • Gather member feedback and support analysis of satisfaction and engagement trends.

Events and Networking Activities

  • Support the planning and coordination of member participation in conferences, webinars, meetings, and networking events.
  • Liaise with members, speakers, partners, sponsors, and exhibitors to support smooth event delivery.
  • Ensure a positive and professional experience for members and participants during events, identifying opportunities to add value and exclusivity.

Reporting and Operational Support

  • Prepare membership statistics, reports, and analytical summaries to support the Head of Membership and Partnerships and senior management.
  • Monitor membership data, payments, engagement metrics, and participation trends.
  • Support departmental planning, scheduling, and administrative coordination.
  • Contribute to continuous improvement of membership processes, systems, and services.


Profile and Qualifications


  • Bachelor's degree in business administration, communications, international relations, marketing, or a related field.
  • Minimum 2–4 years of relevant professional experience in membership services, stakeholder engagement, customer relations, sales, or association management.
  • Strong organisational and administrative skills with attention to detail.
  • Excellent interpersonal and communication skills in English; additional languages are an asset.
  • Strong working knowledge of Salesforce or a similar CRM, with a good sense of how membership activity connects across systems. Familiarity with system automation and workflows is an asset.
  • Ability to manage multiple priorities and work collaboratively in an international environment.
  • Proactive, service-oriented, and able to build positive professional relationships.
  • Knowledge of, and interest in, the road and mobility sector is an asset.
  • Willingness to travel internationally when required.
