Work Set-up: Work From Home
Schedule: Monday – Friday, 6:00 am – 2:30 pm PH Time
Salary: Php 35,000 – Php 45,000

About the Role

We are seeking a highly skilled, versatile, and proactive Marketing & Operations Assistant who can support our client in two businesses and report directly to two directors. The primary role will be to support social media and content Management for the Sports and Remedial Health Clinic business and general administrative support for the Commercial Property Management business.

In this unique hybrid role, your time will be split between both businesses, a premier allied health clinic specializing in musculoskeletal recovery, and our dynamic Commercial Property Management business. You will act as the operational backbone for both entities, handling everything from patient management and basic bookkeeping to creative digital marketing.

JOB DESCRIPTION FOR MARKETING & OPERATIONS ASSISTANT

Responsibilities as a Marketing & Operations Assistant:

1. Practice Management & Administration (Allied Health)
• Manage day-to-day scheduling, client inquiries, and practitioner bookings using Cliniko.
• Oversee patient intake forms, maintain accurate health records, and handle basic billing inquiries.
• Ensure smooth daily operations and high-quality administrative support for our multidisciplinary health team.
2. Social Media & Digital Marketing
• Concept, create, and schedule engaging marketing content across Facebook, Instagram, and TikTok to boost brand visibility.
• Assist in managing digital ad budgets, including the strategic removal and optimization of Google Ads campaigns.
• Monitor social media engagement, reply to messages, and build online community rapport.
3. Basic Bookkeeping & Financials
• Perform basic, accurate bookkeeping duties using Xero.
• Reconcile daily bank statements, match invoices, and process basic expenses.
• Assist with tracking accounts receivable and accounts payable across both businesses.
4. Property Management Support
• Provide administrative backup for the commercial property portfolio.
• Assist with tenant communication, lease documentation tracking, and coordination of maintenance requests.

Qualifications as a Marketing & Operations Assistant:
• Australian Client Experience: Minimum of 2 to 3 years of proven experience working directly with Australian businesses (preferably within the health, real estate, or professional services arena).
• System Knowledge: Hands-on proficiency with Cliniko (or an equivalent cloud-based practice management system) and Xero bookkeeping software.
• Content Creation: Strong eye for design and a solid understanding of content trends on TikTok, Instagram Reels, and Facebook.
• Tech-Savvy: Familiarity with Google Workspace, Google Ads management, and cloud-based systems.
• Communication: Exceptional written and verbal English communication skills with an understanding of the Australian business landscape and tone.
Desirable Qualifications (Huge Advantage)

• Previous Property Management Experience: Prior experience in property management—specifically commercial property management—is highly valued and will put you at the top of our list but is not essential.
